The Town of Westborough seeks qualified applicants for the full-time position of Administrative
Assistant in the Planning Department. This role supports the Director of Planning and the day-today operations of the office including communicating with the general public and Town staff on
Planning Department matters, preparing Planning Board agendas and minutes, and performing
general administrative duties.

This is a full-time (40 hours/week) union position with a pay range of $22.98-$32.21/hour; offer

SUMMARY: Controls office work flow, gives information to callers and otherwise relieves officials of
clerical work and minor administrative detail by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be

Responds to public over the phone and in person; takes messages, routes calls.
Keeps Department Head regularly informed of administrative and clerical issues and matters affecting the
department.
Properly handles confidential and sensitive information relative to enforcement activities and the personnel
of the Department.
Drafts correspondence, memoranda and notices; prepares documents. Receives and processes incoming
and outgoing mail and faxes.
Collects fees for special permits, subdivisions and ANR's.
Prepares agenda for all meetings of the Planning Board and drafts all minutes.
Assists in preparation of financial and statistical information and reports and projects of the Town Planner.
Maintains a working relationship with other employees and other Town departments and agencies.
Maintains, analyzes and summarizes financial data relative to the operation of the Planning Board office
including preparation of data for processing of purchase orders and maintenance of all necessary
department equipment and supplies.
Prepares and processes payroll for department including recording of sick and personal days.
Supervisory Responsibilities: This job has no supervisory responsibilities.
Education and/or Experience: High school diploma or general education degree (GED); one to three
years related experience and/or training; or equivalent combination of education and experience.
Associate's degree preferred.
Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance
instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak
effectively before groups of customers or employees of organization.

Land Use matters including, but not limited to, the Zoning By-laws, and Subdivision Rules and
Regulations. Detailed knowledge of Planning Board practices and procedures and other departmental
policies. Ability to work independently. Ability to maintain sensitive and confidential information. Ability
to maintain, manage and organize records. Ability to deal appropriately with employees, other
departments, and the general public. Ability to understand and follow written instructions. Ability to
communicate clearly and concisely with others, both verbally and in writing. Ability to perform detailed
work accurately and efficiently within deadlines. Ability to prioritize multiple tasks and deal effectively
with interruptions.
Other Qualifications: Must be available to attend Economic Development Committee and Design Review
Board meetings.
