What are the responsibilities and job description for the Executive Assistant to the Comptroller position at Town of Greenwich?
Executes complex, confidential administrative work in support of the Comptroller, the Board of Estimate and Taxation (BET), and the Finance Department Management Team.
Reports to the Comptroller.EDUCATION AND EXPERIENCE:
Bachelor’s degree in financial administration, public administration, public relations, or a related discipline. Five years of related experience in an executive support role or similar, supporting top level executives or elected officials preferred.
QUALIFICATIONS:
Demonstrated knowledge of the administrative operations of municipal government as well as of the policies and procedures regarding the principles of office management, supervision and record maintenance in a municipal government environment.
Proven technology skills in working with Excel, Word, Adobe, MUNIS and Zoom (or related virtual meeting products).
Considerable ability to make decisions in conformance with laws, regulations and policies.
Effective verbal and written communication skills.
Demonstrated ability to interact effectively with elected officials, administrative officers, colleagues and the public.
Proven ability to work independently and effectively prioritize responsibilities.
Demonstrated knowledge of customer service skills and of customer service principles and best practices. All positions may be subject to an interview process. The Town reserves the right to limit the number of qualified candidates who will be invited to participate in the examination, or any part thereof.
All outside candidates will be required to undertake and successfully pass a pre-employment medical examination, which includes a substance abuse test that includes testing for THC (the psychoactive ingredient in marijuana), given at the Town's expense prior to employment if conditionally offered a part time, full time or safety sensitive position.

DUTIES & RESPONSIBILITIES:
Administers various functions for the Comptroller, BET and Finance Department involving both internal and external stakeholders.
Independently addresses inquiries and complaints and follows through with the appropriate parties to ensure their successful resolution. Prepares correspondence for the Comptroller and BET in response to inquiries, complaints, projects and other administrative matters.
Coordinates various assignments with department heads, RTM Committees, BET, Board of Selectmen and outside agencies and professionals.
Researches and prepares various confidential reports, including financial information in support of the collective bargaining process. Oversees and coordinates the production of the town-wide annual report for the BET.
Assists the BET and BET Subcommittees to ensure the adequacy and accuracy of the documentation contained in meeting packets. Coordinates and posts meeting materials in accordance with specific deadlines and in compliance with the Freedom of Information Act (FOIA).
Responsible for the coordination and maintenance of all minutes of the BET and its Sub-Committees to ensure compliance with FOIA.
Updates and maintains the website for the BET and Finance Department.
Maintains the BET and BET Sub-Committee Meeting Calendar. Books conference rooms (or schedules virtual meetings).
Coordinates all annual budget request information and arranges for public hearings for the BET and BET Subcommittees. Assists in the preparation of the Town budget book.
Responsible for inventory and ordering departmental supplies, as well as processing associated invoices for payment.
Assists BET members with informational requests and other assignments as requested.
Acts as the back-up minute taker for BET and BET Subcommittees in the absence of the regular minute taker.
Maintains confidentiality of information as required.
Supports Town policies and philosophies, and performs other related duties as assigned.
