Become an essential part of the Total Care Orthotics and Prosthetics family as a Front Office - Administrative Staff member. You'll play a pivotal role in delivering exceptional patient experiences through effective communication (bilingual applicants are a plus), organized scheduling, and meticulous record-keeping. We're looking for someone with strong multitasking skills and a compassionate approach to patient care.
Responsibilities:
- Greet patients professionally both in person and over the phone, providing information and redirecting inquiries when needed.
- Optimize provider schedules to enhance patient satisfaction and streamline appointment coordination.
- Notify providers of patient arrivals and anticipate patient needs, creating a soothing and supportive environment.
- Perform data entry, maintain accurate patient records, and keep our filing systems running efficiently.
- Interact with patients, families, salespeople, vendors, and insurance companies, providing courteous and effective assistance.
- Manage phone calls and emails, skillfully scheduling appointments and delivering essential information.
- Collect, securely store, and manage medical information while always respecting confidentiality standards.
- Maintain a welcoming and organized front office environment through diligent organization and clerical duties.
- Enter new referrals in OPIE Software and confidently use Microsoft Suite tools to keep things running smoothly.
- Adapt and excel in our dynamic, fast-paced setting, embracing challenges with a positive attitude.
- Willingly contribute additional hours during busy periods to ensure exceptional patient care.
Qualifications:
- High school diploma or equivalent; associate's degree or relevant certifications preferred.
- 3 years of previous medical office or administrative experience is a plus and demonstrates your readiness for this role.
- Proficiency in Microsoft Suite (Word, Excel, etc.)
- Strong organizational, multitasking, and interpersonal skills are essential for success.
