Primary Purpose:
Support district-wide secondary data systems and records management. Promote data accuracy, compliance, and timely processing of information through planning, coordination, training, and support of district personnel. This role supports all secondary areas related to courses, grades, leavers, transcripts, GPA, rank, at-risk, discipline, PEIMS data, CCMR, and training, and supports campus and district-level staff across many important processes.
Qualifications:
Education/Certification:
- High school diploma or equivalent
- College preferred
Special Knowledge and Skills:
- Strong knowledge of Microsoft Office.
- Basic knowledge of HTML and SQL.
- Knowledge of district Student Information Systems and supported state reporting systems.
- Knowledge of state and local policies and procedures related to courses, grades, attendance, leavers, transcripts, GPA, rank, at-risk, discipline, PEIMS data, and CCMR.
- Knowledge of student and teacher scheduling, master catalog, graduation plans, diploma types, and special programs.
- Ability to generate and analyze reports, advanced searches, and custom data files.
- Ability to communicate effectively in written and oral format.
- Ability to multi-task, manage deadlines, and maintain a high level of detail and accuracy.
- Ability to provide training, support documentation, and customer service to campus and district staff.
Experience:
- Minimum of 3 years of experience supporting information systems in an education environment.
- Preferred 3 years of experience with electronic grading, attendance, scheduling, or student information systems.
- Preferred experience using an industry standard reporting tool or SQL Reporting Services.
- Preferred experience using a database such as MS Access, SQL Server, or FileMaker.
Major Responsibilities and Duties:

Ensure data integrity and high-level data analysis for all district secondary data systems.
- Support district and campus information requests by generating custom data files, creating labels, building advanced searches, and preparing custom reports.
- Support all secondary areas related to courses, grades, leavers, transcripts, GPA, rank, at-risk, discipline, PEIMS data, CCMR, and training.
- Provide district support and training on district data systems, including gradebooks, attendance, scheduling, Student Information Systems, associated dashboards, and other supported platforms.
- Maintain a secure and confidential work environment by managing user account access, properly handling confidential records, and limiting access to authenticated users.
- Maintain a help desk for district data systems and respond to campus and district support requests in a timely manner.
- Assist the PEIMS Coordinator in preparing annual PEIMS data files by generating custom reports, assisting with custom configurations, completing leaver reviews, supporting evaluations and internal desk audits, and validating key secondary data elements.
- Support CCMR data loads and validation in ODS and assist with verification of graduation plans and diploma types.
- Assist in the maintenance of related systems by performing regular audits of data contained in the system.
- Support student assessment analysis by creating custom reports for data disaggregation and review.
- Create help documentation, job aids, and support videos for supported systems.
