What are the responsibilities and job description for the RECEPTIONIST FT position at Tohono O'odham Nursing Care Authority?
GENERAL PURPOSE: Operates a multi-line telephone system to answer incoming calls and direct callers to appropriate personnel by performing the following duties.
ESSENTIAL FUNCTIONS: In addition to performing Essential Functions, this position may be required to perform a combination of supportive functions based upon the requirements of the organization.
- Answer phones in a pleasant manner.
- Greet visitors with a customer-focused attitude.
- Have everyone who enters the lobby sign the guest log, being the first line of security.
- Assist visitors in locating friends, family, staff, and public restrooms, meeting rooms, departments, phones, and wheelchairs.
- Page staff as appropriate to notify callers or visitors (check to see if they have an appointment.)
- Immediately contact an Admissions staff member when a prospective resident, or family member of a prospective resident, walks into the lobby and inquires about our services. (If marketing is unavailable contact a manager or social worker.)
- Monitor the fire alarm system.
- In case of emergency direct staff or guests to the appropriate area.
- Maintain lunch and dinner menu sign up sheet and collect for cost of meals.
- Sort mail by using the following steps:
- Put mail in appropriate mail slots for staff and residents.
- Forward mail belonging to staff or residents who are no longer here.
- Retrieve messages from the voice mail system and forward or notify appropriate staff at least once every half hour.
- Assist in supporting staff that may need your help with folding, stuffing, faxing information or other requests.
- Assist in keeping the lobby neat and orderly.
- Switch phones, as appropriate, in the morning and evening to reflect the day or evening message.
- If friends or family members want to visit an employee, refer them to Human Resources.
- Reading of personal material, i.e., newspaper, magazines, books, etc. and eating is prohibited while at the front desk.
- All staff is required to always follow all safety regulations and precautions.
- Staff must ensure that their department is maintained in a clean and safe manner by assuring that all necessary equipment and supplies are maintained.
- Report all hazardous conditions/equipment to immediate supervisor/manager.
- Report all accidents/incidents to immediate supervisor/manager within 24hrs.
- All staff must wear protective clothing and equipment when handling infectious waste and or blood/body fluids or when doing Hazardous work i.e., working with chemicals, electrical or day to day maintenance repairs.
- All Staff are required to participate in the O’odham Centered Care - Managers/Supervisors will help staff in participating in O’odham Centered Care.
- Recognize your role as part of the QAPI efforts of your organization.
- Attend training to build understanding and capacity to undertake QAPI work.
- Carry out QAPI roles and responsibilities as assigned.
- Follow established policies and procedures in support of QAPI efforts.
- Look for and share leadership ideas for improvement in the organization.
- Communicate with leadership upon witnessing a positive outcome of a QAPI project or detecting barriers preventing project success.
- Support QAPI efforts both verbally and non-verbally (i.e., via actions and attitude), including adjusting performance and practice in accordance with QAPI initiatives and findings.
QUALIFICATIONS/BASIC JOB REQUIREMENTS:
All employees must be able to apply the skills acquired through in-services as required by essential functions. High school diploma or general education degree (GED); and two years related experience and/or training; or equivalent combination of education and experience.
