Install/Sales Coordinator
TNT Heating & Air Inc. is a 36-year-old licensed and insured HVAC company servicing both North Carolina and South Carolina. Our concept is to provide efficient and quality work in all areas of HVAC service. From our 24-hour emergency service department to the installation of new equipment, we cover all expectations that heating, and air require while staying up to date on all code requirements. We are growing, We are seeking a Sales/Install Coordinator to join our team.
Work Hours: 7:30 am - 4:30 pm Monday to Friday
Compensation: $20.00 - $27.00 per hour
Position Summary
The Install Coordinator / Sales Coordinator is responsible for turning sold jobs into smooth, profitable, and well-communicated installations. This role bridges the gap between sales, office, installers, vendors, and customers by ensuring every project is scheduled correctly, prepared properly, and completed efficiently.
This position plays a key role in job readiness, customer experience, revenue flow, and operational efficiency.
Primary Responsibilities
Install & Project Coordination
- Schedule all residential and light commercial installations.
- Confirm job readiness prior to install:
- Equipment ordered and confirmed
- Materials list prepared
- Permits and inspections scheduled (when required)
- Communicate daily with install crews regarding:
- Job scope
- special requirements
- access issues
- start times
- Act as the main office contact for installers during projects.
Sales Support & Job Handoff
- Receive and review all sold jobs from the sales team.
- Verify:
- equipment match
- system type
- accessories
- duct or electrical scope
- zoning and specialty items
- Ensure all sold job details are accurately entered into ServiceTitan.
- Flag missing or unclear information before jobs are scheduled.
Customer Communication
- Confirm installation dates and arrival windows with customers.
- Set expectations for:
- install timeline
- access requirements
- utility shutoffs
- permitting/inspection process
- Handle reschedules, delays, and customer questions professionally.
Purchasing & Vendor Coordination
- Order equipment and materials.
- Track delivery dates.
- Coordinate equipment staging and job site readiness.
Job Close-Out & Billing Support
- Verify install paperwork and photos are complete.
- Confirm job completion in ServiceTitan.
- Support office staff with:
- change orders
- job cost corrections
- final invoice readiness
- Assist with smooth handoff to billing and accounting (QuickBooks integration).
Performance & Accountability
- Track install scheduling efficiency.
- Monitor:
- reschedule rates
- job readiness issues
- missed or delayed installs
- Assist leadership with install-related KPIs and reporting.
Required Skills & Experience
- Strong organizational and scheduling skills

Preferred Experience
- HVAC, construction, or trade services office experience

Technology & Systems
- ServiceTitan (daily use)
- QuickBooks (job and billing coordination support)
- Microsoft / Google office tools

Required Qualifications:
- Valid driver's license and insurable driving record
- Experience in the HVAC field preferred
- Both service and install experience preferred
- Able to communicate clearly in English both verbally and in writing
- Management experience in a trade industry. HVAC preferred
- Exceptional communication and customer service skills
- Previous experience in permitting for HVAC trades
- Experience in job costing
- Experience working with and scheduling Inspection for HVAC jobs
- Familiarity will all applicable codes preferred
- Strong leadership abilities
- Proficiency in Microsoft Office products
- Experience with Service Titan software
