About the Role:

The Pain Management Office Manager in Training will be responsible for learning and supporting the administrative and operational functions of a specialized pain management clinic. This role is designed to develop leadership and management skills through hands-on experience in overseeing daily office activities, coordinating patient care logistics, and ensuring compliance with healthcare regulations. The successful candidate will work closely with clinical and administrative staff to optimize workflow, enhance patient satisfaction, and maintain accurate records. Over time, the trainee will assume increasing responsibility for managing staff, budgeting, and implementing office policies. Ultimately, this position aims to prepare the individual to effectively lead the office as a full-fledged manager, contributing to the clinic’s mission of delivering high-quality pain management services.

Minimum Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration or related field preferred.
  • Prior experience in a medical office or healthcare setting, preferably involving administrative or clerical duties.
  • Basic knowledge of medical terminology and healthcare office procedures.
  • Proficiency with office software such as Microsoft Office Suite and electronic health record (EHR) systems.
  • Strong organizational and communication skills.

Preferred Qualifications:

  • Experience or coursework in healthcare management or medical office administration.
  • Familiarity with pain management clinical practices and terminology.
  • Knowledge of medical billing, coding, and insurance claim processes.
  • Leadership or supervisory experience in a healthcare environment.
  • Certification in medical office management or related credentials.

Responsibilities:

  • Assist in coordinating daily office operations including scheduling, patient intake, and billing processes.
  • Support the management team in maintaining compliance with healthcare laws, privacy regulations, and clinic policies.
  • Communicate effectively with patients, healthcare providers, and insurance companies to facilitate smooth service delivery.
  • Help supervise and train administrative staff, fostering a collaborative and efficient work environment.
  • Participate in financial management tasks such as invoicing, budgeting, and expense tracking under supervision.
  • Contribute to quality improvement initiatives aimed at enhancing patient experience and operational efficiency.
  • Prepare reports and maintain accurate documentation related to office performance and patient services.
