About the Role:

The Lead Medical Receptionist plays a pivotal role in ensuring the smooth and efficient operation of the medical office's front desk and patient intake processes. This position is responsible for overseeing daily administrative tasks, managing patient appointments, and serving as the primary point of contact for patients and healthcare providers. The Lead Medical Receptionist coordinates communication between medical staff and patients, ensuring that all inquiries and concerns are addressed promptly and professionally. Additionally, this role involves supervising and mentoring junior reception staff to maintain high standards of customer service and operational efficiency. Ultimately, the Lead Medical Receptionist contributes significantly to creating a welcoming and organized environment that supports quality patient care and office productivity.

Minimum Qualifications:

  • High school diploma or equivalent required; associate degree or higher in healthcare administration or related field preferred.
  • Minimum of 3 years experience in a medical receptionist or administrative role within a healthcare setting.
  • Proficiency with electronic health record (EHR) systems and standard office software (e.g., Microsoft Office Suite).
  • Strong knowledge of medical terminology, insurance procedures, and patient confidentiality regulations (HIPAA).
  • Excellent communication and interpersonal skills with a demonstrated ability to manage multiple tasks efficiently.

Preferred Qualifications:

  • Experience in a supervisory or lead role within a medical office environment.
  • Additional training in customer service or office management.
  • Bilingual abilities to support diverse patient populations.

Responsibilities:

  • Manage and coordinate patient scheduling, including appointment bookings, cancellations, and rescheduling to optimize clinic workflow.
  • Greet and assist patients upon arrival, verifying personal and insurance information accurately and efficiently.
  • Serve as the primary liaison between patients, medical staff, and external healthcare providers to facilitate clear and timely communication.
  • Supervise, train, and support junior receptionists and administrative staff to ensure consistent adherence to office policies and procedures.
  • Maintain and update patient records and databases in compliance with privacy regulations and organizational standards.
  • Handle incoming calls, emails, and other correspondence, providing accurate information and directing inquiries appropriately.
  • Assist with billing processes, including collecting co-pays and managing insurance documentation as needed.
  • Identify opportunities to improve front desk operations and implement best practices to enhance patient experience.
