Position Overview
We are seeking a highly organized, detail-oriented PMO Support Specialist to provide day-to-day administrative, operational, and communication support to a Federal program director and the broader program management office. The ideal candidate excels at managing structured administrative processes, drafting clear and effective communications, and coordinating complex meeting and reporting activities. This is a fully onsite position in downtown Washington, DC; candidates must be based in or willing to relocate to the DC area.
Key Responsibilities
- Serve as the primary PMO administrative support to the Federal Program Director, ensuring seamless coordination and execution of program operations.
- Organize and facilitate meetings across the full PMO team, including:
- Gathering agenda items
- Preparing meeting materials
- Documenting detailed meeting minutes
- Tracking, assigning, and driving follow-up actions
- Draft and distribute recurring and ad hoc maintenance and outage notifications for external customers, adhering to established communication procedures and approval workflows.
- Create and maintain professional presentations for monthly and quarterly meetings, highlighting program initiatives, project status updates, and milestone achievements.
- Own the program’s weekly reporting requirements to upper Federal leadership, summarizing accomplishments, priorities, and risks with clarity and accuracy.
- Lead onboarding activities for new Federal and contractor personnel, ensuring a smooth and consistent experience.
- Identify opportunities to improve PMO processes, tools, and workflows, and proactively recommend enhancements.
Required Qualifications
- Strong attention to detail and the ability to quickly learn and reliably execute structured administrative processes.
- Excellent written and verbal communication skills, including experience drafting professional communications and facilitating meetings.
- Proven ability to work in a fast-paced program environment and manage multiple priorities.
- High proficiency with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook); experience creating executive-level presentations a plus.
- Ability to work onsite daily in Washington, DC.
Preferred Qualifications
- Experience supporting Federal programs or PMO teams.
- Familiarity with program reporting, action tracking, and process improvement initiatives.
- Experience working the US Dept. of Treasury, or another federal client
Compensation:
$70,000-$90,000 annually, plus benefits, including medical/dental/vision coverage, PTO and a partial 401k match
Vetting:
Applicants selected will be subject to a government investigation and may need to meet eligibility requirements of the U.S. government client.
