Duties
- Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle calendar management and scheduling for executives and team members using productivity software such as Google Workspace and Microsoft Office
- Perform data entry tasks with accuracy using spreadsheets, word processing, and other office productivity tools
- Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents and records
- Assist with client communication, customer support, and follow-up to foster positive relationships
- Support office management activities including supply inventory, filing, proofreading documents, and coordinating meetings
- Utilize technical skills to operate office equipment such as printers, scanners, and teleconferencing tools efficiently
Experience
- Proven clerical experience or administrative experience in an office environment demonstrating strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, spreadsheets, and email management
- Familiarity with QuickBooks or similar accounting software is a plus for handling basic bookkeeping tasks
- Excellent typing speed with high accuracy; strong proofreading skills to ensure error-free correspondence
- Experience managing multi-line phone systems and providing exceptional customer service over the phone or in person
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Demonstrated ability to prioritize tasks efficiently using time management techniques in a busy setting
