Position Overview
Agentis Financial is seeking a highly organized and proactive Administrative Assistant to directly support the President and help drive day-to-day operational efficiency.
This role is ideal for someone who thrives in a fast-paced, professional environment and enjoys being a key partner in ensuring smooth business operations. You will play a critical role in managing priorities, coordinating communications, and supporting strategic initiatives.
Key Responsibilities
- Provide direct administrative support to the President, including calendar management, meeting coordination, and travel arrangements
- Prepare and format reports, presentations, and communications for internal and external stakeholders
- Coordinate meetings, including scheduling, agenda preparation, and note-taking
- Maintain organized and accurate filing systems (digital and physical)
- Manage incoming communications and serve as a point of contact for internal and external inquiries
- Support onboarding activities in coordination with HR
- Assist with data tracking, reporting, and operational support, including compliance-related activities
- Coordinate office operations, including supplies, vendors, and general administrative needs
- Handle sensitive and confidential information with the highest level of discretion
- Support special projects and cross-functional initiatives as needed
Qualifications
- Bachelor’s degree preferred (or equivalent experience)
- 2–4 years of administrative experience, ideally within financial services or a regulated environment
- Strong organizational skills with the ability to manage multiple priorities effectively
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and collaboration tools
- High attention to detail and accuracy
- Ability to maintain confidentiality and exercise sound judgment
- Proactive, solutions-oriented mindset with strong problem-solving abilities
- Comfortable working both independently and collaboratively
