Reports To: Purchasing Manager
Department: VPC- Purchasing
Role Summary
The Buyer plays a vital administrative role within the procurement function, primarily responsible for issuing purchase orders (POs) promptly and accurately once planned and firm orders are entered into the system. This position is essential to ensuring the timely flow of materials that support production schedules, meet customer demand, and align with inventory management goals.

All duties as assigned and the following specific activities.
Procurement Execution
- Process purchase orders promptly and accurately based on firm requirements entered into ERP/MRP system.
- Ensure all order details are accurate, including quantities, minimum order quantities (MOQs), delivery dates, pricing, and supplier information.
- Coordinate and process changes to existing purchase orders—such as quantity adjustments or delivery date modifications—in collaboration with the Material Planner and relevant stakeholders.
- Maintain accurate and up-to-date purchase order records and documentation to ensure data integrity and traceability.
- Coordinate with suppliers to resolve issues related to pricing, quality, or delivery
Supplier Relationship Management
- Transmit purchase orders to suppliers and confirm receipt to ensure acknowledgement and timely processing.
- Collaborate with the Material Planner to track deliveries and ensure alignment with production needs.
- Investigate and resolve pricing discrepancies; escalate unresolved issues to the Material Planner or Purchasing Manager.
- Maintain accurate and up-to-date purchase order records and documentation for audit and reporting purposes.
- Process changes to existing orders—such as quantity adjustments or delivery date shifts—in coordination with the Material Planner and relevant stakeholders.
- Reissue updated purchase orders to suppliers.
- Support internal collaboration by ensuring planned orders for long lead-time materials are placed in alignment with production schedules.
- Update and manage change requests, including issuing revised POs and unconfirming outdated orders in the system.
Performance Monitoring and Reporting
- Maintain accurate records of all procurement activities
- Track key performance indicators (KPIs) for supplier performance
Team Collaboration
- Work effectively as part of the procurement team
- Collaborate with cross-functional teams including planning, production, and quality
- Seek guidance from senior buyers and/or category managers for complex issues

- Purchase Order Turnaround Time: Measure the speed at which purchase orders are issued after firm demand is entered into the ERP/MRP system.
- Purchase Order Accuracy Rate: Track first-pass accuracy of POs, including correct quantities, pricing, delivery dates, and supplier details.
- Timely Completion of Administrative Tasks: Monitor the on-time execution of PO-related administrative responsibilities, such as updates, and documentation.
- Responsiveness to Internal Stakeholders: Evaluate response time and effectiveness in addressing requests and inquiries from Material Planners and other internal partners.:

Knowledge-Skills-Abilities:
Education:
- Bachelor's degree in Business Administration, Supply Chain Management, Finance, or related field or equivalent work experience.
- Certification in Supply Chain Management (e.g., APICS CSCP, ISM CPSM) preferred
Experience:
- 3-5 years of experience buying in a high-volume manufacturing environment; multi-location preferred.
- Demonstrated understanding of logistics workflows, including inventory management and distribution.
- Ability to manage multiple and changing projects and priorities.
- Ability to make decisions within established guidelines
- Ability to work under pressure regularly
- Proven negotiation and conflict resolution skills
- Proven ability to identify risks and present options to solve supply chain issues
- Exceptional detail ability with accuracy and passion and able to provide meaningful data, analysis, and present reasoned outcomes.
- Knowledge of purchase orders
Technology/Software:
- Proficient in Microsoft Suite applications and various market research tools.
- Intermediate/advanced computer skills (Excel, interlinked databases, ERP)
- Solid understanding of Material Requirements Planning (MRP) systems and logistics operations, including inventory control, procurement workflows, and supply chain coordination.
Communication:
- Exceptional written and verbal communication skills.
- Ability to present information clearly and concisely to various stakeholders.

- Strength (lifting, dexterity, repetitive motion): Able to use a computer extensively
- Movement (standing, stopping, sitting, crouching, crawling): General movement in an office setting with extended time relating to sitting.
