Job Title: Event Coordinator (Part-Time)
Location: The Sip – Poulsbo, WA
Reports To: Owners | Works Closely With: Operations Manager
Hours: 20–25 hours/week (5–10 hours event coordination 10–12 hours working at The Sip)
Compensation: $18.50/hr tips
Position Overview
The Event Coordinator is a key part of our team, responsible for the planning, communication, and execution of all events at The Sip. This includes private event bookings, weekly entertainment (like live music), and recurring community events such as Speed Puzzling and Line Dancing. You’ll be the go-to person for creating memorable guest experiences while ensuring flawless coordination with the in-house team and vendors. Must be 21 years of age.
Key Responsibilities
Private & Special Events Coordination
- Respond to all inquiries about private events via email or in person
- Collaborate with clients to finalize menus, including custom items when needed
- Secure rental deposits and manage event details start to finish
- Work with the owners to ensure proper staffing for each event
- Coordinate all decorations, materials, supplies, and setup needs
- Be the point of contact during private events to ensure smooth execution
- Deliver exceptional customer service throughout the planning and event process
Weekly & Monthly Event Scheduling
- Book live music weekly (Wednesdays, 6–8:30 PM) and maintain a monthly event calendar
- Ensure all regular events are scheduled by the 15th of the prior month to allow for marketing and print deadlines
- Coordinate recurring events such as:
- Speed Puzzling (3rd Friday each month)
- Line Dancing
- Cookie Decorating
- And other themed events or seasonal specials
- Communicate with all vendors in advance to confirm reservations, ticket sales, and setup needs
- Collaborate with owners on all marketing and promotional needs
On-Site Support & Team Communication
- Communicate event plans clearly with The Sip team and Operations Manager to ensure flawless execution
- In addition to events, we need this position to be available to work at The Sip during high-traffic hours:
- Saturdays & Sundays
- Help with general operations during in-store shifts to stay connected with customer experience

- Exceptional organization and communication skills

- Detail-oriented with the ability to juggle multiple events and timelines
- Experience in event planning, hospitality, or customer-facing roles preferred
- Comfortable working in a fast-paced, team-oriented environment
- Available for flexible scheduling including weekends and evenings
Pay: $18.50 per hour
