SCOPE: The Executive Coordinator, Office of the CEO is responsible for providing administrative support for the CEO’s office; understands and represents the CEO’s priorities to ensure time is scheduled, focused, and expended with maximum efficiency and effectiveness; Assists with the organization of executive events and board meetings.
ESSENTIAL FUNCTIONS:
- Provide executive-level support to the Office of the CEO Staff.
- Organize and coordinate executive outreach and external relations efforts.
- Responsible for all aspects of the CEO’s administrative operations, including but not limited to coordinating complex schedules, processing expense reports, preparing highly confidential correspondence, organizing travel, and managing competing priorities.
- Uses sound decision-making to manage calendar activities in a manner that maximizes the CEO’s availability and anticipates needs, allowing for proper meeting preparation.
- Follows up on meeting-generated tasks, prepares materials, presentations and/or documents for meetings, and corresponds with internal and external stakeholders, and takes notes during meetings.
- Assists with organizing events, such as board and ELT retreats, including scheduling, invitations, creating agendas, and collaborating with others to manage a successful event.
- Assists with planning and organizing board meetings, including scheduling, coordinating, and executing the preparation and delivery of the board packets.
- Draft, review, and send communication on behalf of the CEO.
- Successfully complete critical aspects of deliverables with a hands-on approach.
- Work closely and effectively with the CEO and Director to ensure all are well-informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
- Maintain confidentiality of work-related issues, records, and company information.
- Prioritize conflicting needs; handle matters expeditiously and proactively; follow through on projects to successful completion, often with deadline pressures; work closely and effectively with the executive(s) to keep them well informed of upcoming commitments and responsibilities, following up as appropriate.
WORK ENVIRONMENT:
This job operates in a professional office environment and routinely uses standard office equipment such as laptop computers and smartphones. There will be prolonged periods of sitting at a desk and working on a computer.
SUPERVISORY RESPONSIBILITY:
This position has no supervisory responsibility.
TRAVEL
Domestic and international travel for retreats and meetings is required. No more than two to three weeks of the year.
OTHER DUTIES:
- Attend and participate in a variety of meetings and task force groups as directed and maintain required level of knowledge pertaining to operating procedures, requirements, processes and policies.
- Lead and or participate in projects or task force groups which focus on issues having organization wide impact.
- Perform or assist with any assignments as required or directed.
QUALIFICATIONS:

- Requires a Bachelor’s degree in Business Administration or related field.
- Requires a minimum of three to five years of experience in an administrative capacity or a business support role.
- Excellent knowledge of Microsoft Suite applications and other tools to support communication and presentations from the CEO’s Office.
- Professional demeanor and excellent written and verbal communication skills.
- Complex meeting scheduling experience is preferred, as is the ability to work within a fast-paced environment, adept at juggling multiple tasks and priorities and prioritizing independently.
- Must have attention to detail and demonstrate strong and objective problem-solving skills using solid reasoning skills.

Salary : $68,000 - $73,000
