Role Overview
This position involves managing end-to-end client billing processes, including setup, invoice generation, and collections, while collaborating with attorneys and staff to optimize workflows. The Client Accounting Specialist plays a critical role in maintaining accurate financial records, resolving billing issues, and identifying process improvements within a dynamic, deadline-driven environment.
Key Responsibilities
- Manage client and matter setup, including rates, discounts, invoice formats, and deferrals, ensuring adherence to engagement terms and billing policies
- Prepare, review, and distribute prebills; coordinate with attorneys and staff to meet monthly billing deadlines
- Generate, review, and audit client invoices, making necessary adjustments for accuracy and compliance with billing standards
- Monitor work-in-progress (WIP) and accounts receivable (AR), follow up on outstanding balances, and resolve billing disputes efficiently
- Collaborate with attorneys, staff, and clients on new matters, billing arrangements, and resolving billing issues or discrepancies
- Utilize financial systems such as Aderant, ARCS, and EIS, along with reporting tools, to support billing, collections, and financial analysis
- Develop and implement collection strategies, including negotiating payment plans, processing write-offs, and obtaining necessary approvals
- Maintain detailed client records and correspondence related to billing and collections activities
- Identify opportunities for process improvements to enhance operational efficiency and client satisfaction
- Support attorneys, staff, and clients with billing inquiries, collections, and related financial support
Core Qualifications & Requirements
- Proven experience managing full-cycle billing, collections, and revenue processes in a professional services or legal environment (minimum 2-4 years)
- Strong attention to detail, accuracy, and organizational skills
- Excellent analytical, problem-solving, and decision-making abilities
- Effective written and verbal communication skills across all organizational levels
- Ability to prioritize multiple deadlines in a fast-paced setting
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Experience with billing systems such as Aderant, ARCS, or EIS, including handling complex billing arrangements and LEDES files
Core Technical Skills
- Legal billing systems: Aderant/Elite 3E, ARCS, EIS, LEDES, E-billing platforms
- Financial reporting and analysis tools

Salary : $75,000 - $110,000
