LOCATION: Center City Philadelphia, PA
WORKING HOURS: Mon.-Fri. 8:00am-5:00pm (incl. 1-hr. Lunch) Occasional OT when requested
ESSENTIAL FUNCTIONS:
Answer telephone, screen and direct telephone calls; take and relay messages as needed.
Provide information to callers or direct telephone call to appropriate person.
Greet clients and visitors to the Firm.
Direct clients and visitors to correct destination within the Firm.
Maintains records of attorney, staff, clients and visitors’ location within the Firm.
Maintains a record of all visitors, clients, and calls to each attorney.
Schedules and maintains conference room appointments and calendar.
Prepares setup of conference rooms, including technology and catering, in accordance with meeting schedule.
Maintain appearance and tidiness of reception and conference rooms.
Communicates telephonically, by email and other correspondence with clients and other external constituencies as well as others who work within the Firm.
Takes part in training sessions as offered by the Firm and seeks education as needed in order to perform required tasks.
REQUIRED EXPERIENCE, LICENSES, CERTIFICATIONS, ABILITIES, OR KNOWLEDGE:
Ability to communicate clearly, both verbally and in writing.
A minimum of three to five years’ experience in a receptionist capacity.
Proficient in Microsoft Office applications including MS Word and Outlook.
Ability to prioritize and organize multiple tasks.
Attention to detail.
Ability to operate effectively under pressure.
Problem solving ability.
Ability to deal discreetly with confidential information.
Job Type: Full-time
Pay: $19.25 - $20.00 per hour
