Position Overview: We are seeking a detail-oriented and reliable Personal Assistant to support The Marigold Company’s owner in managing daily operations and wedding coordination. This role is ideal for someone who enjoys organization, communication, and providing behind-the-scenes support to ensure the business runs smoothly.

Key Responsibilities:

Administrative & Daily Operations

  • Manage the owner’s calendar: schedule meetings with clients, vendors, and partners.
  • Oversee email inbox and respond to or flag important messages .Assist with vendor communication and collaboration to support strong industry relationships.
  • Send and format biweekly email newsletters.
  • Manage client inquiries via HoneyBook, text, and email—schedule consultations and guide each lead through the inquiry-to-booking process.
  • Track deadlines, contracts, and payments to ensure projects remain on schedule.Identify ways to improve organization, systems, and communication for the owner.
  • Support general administrative tasks such as filing, note-taking, and reminders.
  • Draft and proofread client-facing materials such as timelines, proposals, and event details.
  • Performs other job-related duties as assigned.

Wedding & Event Coordination Support

  • Assist with logistical planning, including booking venues and vendors, creating timelines, and preparing event diagrams.
  • Communicate with clients to customize wedding details in alignment with preferences and cultural traditions.
  • Support project management by monitoring deadlines, organizing planning documents, and streamlining workflows for the owner and team.

Qualifications:

  • Experience in event coordination, familiarity with South Asian Weddings and/or administrative support desired.
  • Familiarity with Project Management and Digital Design tools such as Google Drive, AirTable, Honeybook, Canva and WordPress
  • Strong organizational and time-management skills with high attention to detail.
  • Excellent written and verbal communication.
  • Ability to manage multiple priorities and adapt in a fast-paced environment.
  • Professional, dependable, and proactive in anticipating needs.

Job Type: Contract

Pay: $20.00 - $25.00 per hour

Expected hours: 10 – 20 per week

Work Location: Hybrid remote in Temecula, CA 92591
