Position Summary:
The Local Events Coordinator serves as the primary point of contact for event clients post-contract. This person oversees the execution of all on-site responsibilities carried out by the Events Team, working closely with the client to ensure a seamless event experience in line with The Malin’s expectations.
Responsibilities:
Client Support
- Conduct and coordinate client site visits and tours
- Host kick-off calls with clients post-contract signing to align on event logistics and requirements
- Serve as the primary point of contact for the client, leading up to the day of the event
- Develop event timelines, communicate, and enforce all pre-production deadlines to clients
- Follow up with the client on any post-event deliverables
Event Management
- Create detailed event documentation for each booking
- Maintain accurate record-keeping for all events within the internal booking portal
- Procure all event-related forms and documentation
- Prepare and present pre-event status updates and post-event debriefs to the General Manager
- and Events Director
Vendor Coordination
- Communicate the client’s AV and lighting needs to the respective teams, ensuring seamless
- execution that matches or exceeds the client’s expectations.
- Recommend third-party vendors to the client for event enhancements as required (florals, linens,
- musicians, etc.)
- Maintain an up-to-date roster of auxiliary vendors to support event needs
