Position Overview:
As the Admissions Coordinator, you will make the first impression on many of our incoming residents and their loved ones. This critical role requires strong knowledge of Medicare, Medicaid, and private insurance, paired with an outgoing personality, a warm demeanor, and a commitment to service. You’ll work closely with our Marketing Director and Leadership Team to ensure every admission is not just smooth, but welcoming, informative, and comforting—a reflection of the Caring and Excellence Heritage Grove stands for.
Key Responsibilities:
Coordinate all aspects of the admission process from initial inquiry to resident intake
Guide families through Medicare, Medicaid, private pay, and insurance processes with clarity and honesty
Build relationships with referral sources, hospitals, and community partners
Collaborate with the Marketing Director to support census goals and community outreach
Ensure seamless transitions by working with the clinical and administrative teams to make every first impression count
Creatively shape “Day One” experiences that include thoughtful welcomes, room setup, and resident orientation
Maintain accurate documentation and support compliance with all state and federal guidelines
What We’re Looking For:
Experience in healthcare admissions, case management, or long-term care navigation
Expertise in Medicare, Medicaid, and private insurance processes
Excellent verbal and written communication skills
Warm, enthusiastic personality with a natural ability to connect with people
Strong problem-solving skills and attention to detail
A desire to be a Caring resource and support during a vulnerable time
Creativity and flexibility in making admissions experiences memorable and smooth
