Responsibilities
- Greet visitors warmly and professionally, providing exceptional customer service and support.
- Manage multi-line phone systems with confidence, directing calls accurately and courteously while maintaining excellent phone etiquette.
- Handle all incoming correspondence, including emails, messages, and mail distribution efficiently.
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading for clarity and correctness.
- Assist with calendar management and scheduling appointments
- Support office management tasks such as supply inventory, and general clerical duties including typing, photocopying, and faxing.
- Manage front desk operations including answering inquiries, providing information about services or appointments, and supporting customer support efforts.
- Coordinate with team members to ensure smooth daily operations; assist with personal assistant tasks when needed.
- Uphold professional appearance and maintain a welcoming environment for all visitors and staff.
- Support data entry efforts related to client records or administrative databases while ensuring accuracy and confidentiality.
- Perform routine office tasks such as filing documents systematically, proofreading communications for errors, and managing time effectively to prioritize urgent requests.
Experience
Candidates should possess prior experience in office administration or reception roles that demonstrate strong organizational skills and attention to detail. Experience working in medical or dental office settings as a receptionist is highly desirable but not mandatory; transferable clerical experience is valued equally. Proficiency in computer literacy—including Microsoft Office Suite (Word, Excel), data entry software, and familiarity with multi-line phone systems—is essential. Ideal candidates will have demonstrated customer service excellence with strong phone etiquette skills and the ability to manage multiple tasks efficiently in a fast-paced environment. Understanding of addiction is a PLUS!!
