Accounts Payable Specialist (Temp)

We are seeking a dependable, detail-oriented Accounts Payable Specialist to provide administrative and transactional support to the accounts payable department. This role will assist with processing incoming mail, scanning and organizing paper invoices, entering invoice information into the accounting system, and supporting scheduled check runs.

The ideal candidate will have 2–3 years of experience with invoice entry or accounts payable processing, strong attention to detail, and the ability to complete routine tasks accurately and efficiently. This position is well suited for someone who enjoys organized, process-oriented work and contributing to a collaborative accounting team.

Key Responsibilities

• Mail Processing: Open, sort, and distribute incoming mail, identifying invoices and routing documents to the appropriate team members.
• Invoice Scanning: Scan paper invoices and supporting documentation into the accounting system or document management platform.
• Invoice Data Entry: Enter invoice information into the accounting system, ensuring vendor details, invoice numbers, dates, amounts, and other required information are accurate.
• Check Run Support: Assist with scheduled check runs by organizing invoices, preparing supporting documentation, and helping with check processing and distribution.
• Document Management: Maintain organized electronic and physical invoice records to support accurate processing and easy retrieval.
• Invoice Review: Check invoices for completeness, identify missing information or discrepancies, and escalate issues to the appropriate team member.
• General AP Support: Assist with additional administrative and accounts payable tasks as needed to support the department's daily operations.

Qualifications

• 2–3 years of prior experience with invoice entry or invoice processing preferred.
• Familiarity with accounting systems, ERP platforms, or accounts payable software.
• Basic proficiency in Microsoft Excel and other standard office applications.
• Strong attention to detail and commitment to accuracy.
• Good organizational skills and the ability to manage repetitive tasks consistently.
• Ability to follow established procedures and handle confidential financial information appropriately.
• Dependable, team-oriented, and willing to assist with a variety of administrative tasks.
