In this pivotal role, you will serve as the primary point of contact for residents, vendors, and contractors, ensuring smooth operations and a high level of resident satisfaction. Your expertise in HOA community management, administrative processes, and conflict resolution will drive community harmony and uphold the association’s standards. This position offers an exciting opportunity to make a tangible impact on residents’ quality of life while utilizing your comprehensive knowledge of HOA Davis-Stirling civil codes, board administration and property operations.
- Oversee daily community operations, including maintenance coordination, vendor management, and resident services to ensure a safe and welcoming environment.
- Maintain accurate data entry within property management systems like Enumerate, OneSite; update resident records, payment histories, and maintenance logs efficiently.
- Address resident inquiries with professionalism via phone etiquette and in person; resolve conflicts promptly through effective negotiation and conflict management strategies.
- Conduct regular property inspections to monitor property maintenance needs; coordinate repairs and facilities management activities to uphold community standards.
- Prepare reports on community activities, vendor transactions, and compliance issues; manage filing systems for legal documents, contracts, and administrative records.
- Proven experience in HOA management, a minimum of two (2) years HOA experience preferred.
- HOA On-Site Management experience, a minimum of two years preferred.
- Strong knowledge of Davis-Stirling, HOA governing documents.
- Proficiency with HOA management software such as TOPS ONE or Enumerate.
- Excellent customer service skills with the ability to handle sensitive situations tactfully; adept at conflict resolution and negotiation.
- Office experience involving data entry, filing, contract review, and general administrative support.
- Effective communication skills including phone etiquette; ability to upsell amenities or services to residents when appropriate.
