General Summary of Duties: This is a PER DIEM position for the Institute for Human Services, Inc. (IHS), a nonprofit organization located in Bath, NY. The Coordinated Transportation Specialist will provide transportation scheduling for individuals in need of transportation.
Reporting Relationship: Reports directly to the Coordinated Transportation Manager
Salary: $17.00 - $18.00 hourly based on experience
Hours: variable as needed, generally Monday – Friday 8:30am – 4:30pm
Essential Duties and Responsibilities:
1. Coordinate Transportation Requests – Receive and review ride requests from clients, ensuring accuracy of information such as pickup/drop-off locations, times, and special needs.
2. Schedule Volunteer Drivers – Match ride requests with available volunteers, considering driver preferences, location, timing, and client needs to ensure efficiency and safety.
3. Support Volunteers – Communicate schedules, provide necessary trip details, and offer guidance and support to volunteer drivers to help them succeed in their roles.
4. Maintain Accurate Records – Document ride requests, volunteer assignments, cancellations, and service usage in scheduling systems.
5. Problem-Solve Scheduling Challenges – Quickly and effectively adjust schedules in response to last-minute changes, cancellations, or emergencies.
6. Ensure Compliance with Protocols – Follow agency procedures, confidentiality standards, and safety guidelines to protect both clients and volunteers.
7. Communicate with Clients – Provide friendly, clear communication to confirm ride arrangements, answer questions, and address concerns with sensitivity and professionalism.
8. Promote Teamwork – Collaborate with staff, volunteers, and community partners to strengthen transportation services and improve the client experience.
9. Monitor Service Quality – Track ride outcomes, gather feedback from clients and volunteers, and recommend improvements for scheduling efficiency and service delivery.
10. Utilize Technology – Use computer systems, internet tools, and scheduling software to manage transportation logistics and maintain organized records.
11. Perform other duties as assigned
Required Knowledge and Skills: Strong customer service, communication, and organizational skills, ability to multi-task while maintaining professionalism, sensitivity, and attention to detail, proficient in following protocols, problem-solving, and making sound decisions with discretion, skilled with computer systems, internet, and software applications, effective both independently and as part of a team, familiarity with Steuben, Allegany, Livingston, Cattaraugus, and Genesee Counties
Qualifications: High school diploma, associate degree preferred and experience in transportation service, scheduling, data entry, and support.
