We are seeking a dynamic and organized Front Desk Coordinator to be one of the welcoming faces of our offices in both Wheaton & Schaumburg, IL. Pay approximately $20-$23/hr. Direct Hire. Full-Time.
Schedule
Mondays - 7:30 am - 5:00 pm in Wheaton
Tuesdays - 7:30 am - 5:00 pm in Schaumburg
Wednesdays - 7:30 am - 5:00 pm in Wheaton
Thursdays - 7:30 am - 12:30 pm in Schaumburg
Fridays - 7:30 am - 12:00 pm in Schaumburg - then 1:30 pm - 5:00 pm in Wheaton
Doctor pays for staff to travel on Fridays (mileage and tolls, as well as hourly pay for the travel time)
Duties
- Greet patients warmly, providing excellent customer service and ensuring a positive first impression
- Check in and check out, including taking payments, creating and presenting treatment plans, scheduling post-op visits, etc.
- Manage multi-line phone systems, directing calls accurately and professionally, making appointments or taking detailed messages when necessary
- Handle incoming and outgoing correspondence, emails, and inquiries with promptness and professionalism
- Maintain appointment calendars and coordinate scheduling for appointments
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Utilize office management software including Microsoft Office Suite and Carestream WinOMS to support daily administrative functions
- Support office supply inventory management and place orders as needed to ensure smooth operations
- Provide clerical support such as copying, scanning, faxing, and maintaining organized files
- Uphold phone etiquette standards while delivering exceptional customer support over the phone or in person
Experience
- Strong proficiency in computer literacy, including Microsoft Office (Word, Excel, etc.)
- Prior experience working as a receptionist or front desk coordinator in a busy environment such as healthcare (medical or dental receptionist) or corporate offices is preferred but not necessary
- Excellent organizational skills with the ability to multitask efficiently in fast-paced situations
- Demonstrated customer service skills with a friendly yet professional demeanor
- Bilingual abilities are highly desirable to effectively communicate with diverse populations
- Strong time management skills with the ability to prioritize tasks effectively
