The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is seeking a highly organized, proactive, and detail-oriented Program Coordinator to perform a wide range of administrative and operational research duties in support of the National Institute for Defense Health Cooperation (NIDHC). Specifically this position will support NIDHC’s Research and Analysis Team and predominantly work on the Pre-and Post-Crash Care (PPCC) Program, executed on behalf of the Department of Transportation's National Highway Traffic Safety Administration.

The Program Coordinator will serve as a central point of coordination for research and operational activities between internal and external stakeholders. The successful candidate will coordinate all regulatory IRB submissions and facilitate communication with external sub awardees and HJF and USU regulatory affairs teams. The Program Coordinator will support the PPCC Program Manager and task Project Managers in executing a wide-range of administrative tasks.

The National Institute for Defense Health Cooperation (NIDHC) was established in 2025 by combining three defense entities: the National Center for Disaster Medicine and Public Health (NCDMPH), the Center for Global Health Engagement (CGHE), and the Defense Institute for Medical Operations (DIMO). Its mission is to support military and civilian health operational readiness in crisis and conflict through training and education, planning and partnership, and research and analysis. Based at the Uniformed Services University, NIDHC is a federal organization and academic center that supports the DoW and the federal interagency

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.

Responsibilities

  • Assists in ensuring all required reports are completed and submitted on time.
  • Supports IRB approvals and coordination activities, working closely with appropriate regulatory staff to ensure all research compliance protocols are met.
  • Monitors study performance, analyses, and reviews results; oversees the development and implementation of new protocols.
  • Communicates effectively with internal staff and external customers.
  • Negotiates with subawardees and vendors and obtains quotes and other documentation for award issuance.
  • Provides administrative support under the direction of a supervisor, including assistance with hiring, purchasing, and tracking progress.
  • Supports a wide range of operational duties: drafting/editing reports, presentations, and spreadsheets.
  • Manages schedules, prepares meeting agendas, takes meeting minutes, and coordinates travel and site visits.
  • Maintains and organizes shared electronic files (e.g., Google Drive), ensuring proper document version control and accessibility.
  • Assists in overseeing the collection, maintenance, analysis, and evaluation of data used in grant submissions, presentations, and publications.
  • May include budgetary responsibility, including planning and forecasting.
  • Perform other duties and responsibilities as assigned or directed by the supervisor.

Qualifications

Education and Experience

  • Bachelor's Degree required
  • Minimum of 0 - 2 years experience required

Required Knowledge, Skills And Abilities

  • Strong written and verbal communication skills, with the ability to draft clear, professional documents.
  • Knowledge of project coordination principles, office automation tools, and information management best practices.
  • Experience with IRB submissions.
  • Ability to work independently, exercise sound judgment, and prioritize tasks effectively.
  • Comfort coordinating multiple projects and deadlines simultaneously.
  • Familiarity with federal organizations or military health systems is beneficial but not required.
  • Ability to obtain and maintain a T1 Public Trust background check.

Physical Capabilities

  • Ability to stand or sit at a computer for prolonged periods.

Work Environment

  • This position will take place primarily in a office setting.

Compensation

  • The annual salary range for this position is $52,800-$80,000. Actual salary will be determined based on experience, education, etc.

Salary : $52,800 - $80,000
