Position Summary
The Marketing & Communications Coordinator is responsible for planning, coordinating, and executing our Client's marketing, communications, and promotional activities. This position manages the Clients digital presence, member communications, event marketing, sponsor recognition, and promotional materials while ensuring consistent branding and messaging across all channels. The Coordinator works closely with Client leadership, staff, sponsors, vendors, and event organizers to promote Client programs, events, and member engagement initiatives.
This position averages approximately 20 hours per week and may require occasional flexibility to support special events and Client activities.
Essential Duties and Responsibilities
Marketing & Communications
- Manage the Client's overall marketing and communications strategy.
- Develop and implement marketing plans to increase member engagement and promote Client programs and events.
- Ensure consistent branding, messaging, and visual identity across all Client communications.
- Respond to marketing-related requests and assist with special projects as assigned.
Digital Marketing & Social Media
- Create, schedule, and manage content for the Client's social media platforms, including Facebook, Instagram, and LinkedIn.
- Develop engaging content that promotes Client events, member benefits, sponsors, and organizational initiatives.
- Monitor social media channels and support member engagement through digital communications.
Email Marketing & Publications
- Write, design, and distribute weekly member email communications.
- Manage production of the Client's monthly newsletter, including:
- Collecting and organizing content
- Coordinating submission deadlines
- Editing articles and announcements
- Designing and formatting the final publication
- Ensuring timely distribution to members
Event Marketing & Promotion
- Promote upcoming Client events, programs, and special activities through multiple communication channels.
- Create event flyers, promotional graphics, signage, digital advertisements, and other marketing materials.
- Coordinate event information and promotional details to ensure accuracy and timely communication.
- Maintain event calendars and marketing schedules to support consistent promotion and member awareness.
Website Management
- Update and maintain the Client's website content.
- Ensure event information, menus, announcements, sponsorship recognition, and general Client information remain current and accurate.
- Coordinate website updates related to Client activities and member communications.
Sponsor Relations & Recognition
- Coordinate sponsor recognition across Client marketing materials and communications.
- Ensure sponsor logos, acknowledgments, and promotional information are properly displayed in newsletters, event materials, websites, and other communication channels.
- Work with sponsors and Client leadership to gather necessary marketing assets and information.
Client & Member Communications
- Serve as a point of contact for marketing-related inquiries and member communications.
- Manage reciprocal club communications, including:
- Processing incoming visitor requests
- Providing information regarding Client amenities and services
- Communicating visitor details to Client staff
- Preparing letters of introduction for members visiting reciprocal clubs
- Support general member engagement and communication initiatives.
Coordination & Administration
- Collaborate with Client staff, board members, sponsors, vendors, and event contacts to gather information and ensure timely communication.
- Maintain marketing calendars, communication schedules, and promotional timelines.
- Organize marketing assets, files, and communication records.
- Assist with additional marketing and communication projects as needed.
Qualifications
- Experience in marketing, communications, public relations, event promotion, or related field.
- Strong written and verbal communication skills.
- Experience managing social media platforms and email marketing campaigns.
- Proficiency in Microsoft Office and graphic design platforms such as Canva, Adobe Creative Suite, or similar programs.
- Experience with website content management systems preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple projects, deadlines, and priorities simultaneously.
- Ability to work independently with minimal supervision.
