Position Title: Office Assistant / Receptionist
Position Overview
We are seeking a highly organized, personable, and reliable Office Assistant/Receptionist to serve as the first point of contact for our school. This role is essential to maintaining a smooth, professional, and welcoming environment for students, families, and instructors.
Key Responsibilities
- Serve as the primary front desk representative, greeting students and families with professionalism and warmth
- Answer phone calls, respond to inquiries, and manage general correspondence
- Coordinate daily scheduling and ensure smooth transitions between lessons
- Maintain a clean, organized, and inviting front desk and lobby area
- Support the Director and instructors with administrative tasks and client communications
- Maintain accurate and detailed student records and notes
- Provide tours to prospective families and clearly present school programs and offerings
- Assist with student registration and onboarding
- Perform opening and closing procedures, including light cleaning and setup
Qualifications & Skills
- Strong customer service mindset with the ability to deliver a high-end, concierge-level experience
- Excellent communication and interpersonal skills, especially when working with children and families
- Highly organized with strong attention to detail
- Dependable, punctual, and able to manage responsibilities independently
- Ability to multitask and prioritize in a fast-paced environment
- Proficiency with basic computer tools (Google Workspace: Gmail, Docs, Sheets, Voice)
- Experience with scheduling or CRM systems is a plus
- Interest in music or music education is preferred, but not required
- Bilingual or multilingual candidates are a plus
