Role Overview: Seeking a Legal Practice Assistant provides high-level administrative and legal support to a team of 7 attorneys. This role is central to streamlining practice operations, requiring exceptional organizational skills and the ability to pivot between competing priorities in a high-pressure environment.
Core Responsibilities
- Document Lifecycle Management: Format, edit, and proofread legal documents (pleadings, briefs, contracts, and memos). Ensure strict adherence to internal standards and specific filing requirements. Must be familiar with handwritten editing and proficient in Microsoft Word.
- Calendar & Travel: Proactively manage complex attorney calendars, resolve scheduling conflicts, and coordinate domestic/international travel, including itineraries and expense processing.
- Client Relations: Act as a professional liaison for client inquiries. Coordinate meetings and manage sensitive communications with total confidentiality.
- Financial Administration: Facilitate the billing cycle by managing time entries, reviewing proforma invoices, and coordinating with the finance department to resolve discrepancies.
- Matter Intake: Support the opening of new matters, including conflict checks and the preparation of engagement letters.
- Systems Management: Maintain expert-level proficiency in document management systems, billing software, and the MS Office Suite.
Requirements & Qualifications
- Experience: Previous administrative experience within a law firm or professional services environment is strongly preferred.
- Technical Skills: Advanced proficiency in legal document formatting and digital practice management tools.
- Communication: Exceptional verbal and written skills; ability to convey complex information clearly to stakeholders.
- Operational Agility: Proven ability to work independently under tight deadlines while supporting multiple practitioners.
