Document Intake Specialist
π Location: North Chicago, IL (100% Onsite)
π² Pay Rate: $21/hour
π Schedule: Monday-Friday, 10:30 AM - 7:00 PM
β³ Contract: 1 year (extensions possible)
Position Overview
We are seeking a Document Intake Coordinator to support a high-volume administrative team by managing incoming applications and documentation. This role is primarily focused on document processing, data entry, and mail handling β it is not a call center or patient care position.
This is a great opportunity for someone with strong attention to detail, solid computer skills, and office experience who enjoys working independently in a structured environment.
Key Responsibilities
- Receive, sort, and triage incoming applications and documents
- Scan and upload documents into the system with accuracy
- Perform high-volume data entry into a CRM system
- Monitor incoming faxes and reprint/reprocess documents as needed
- Review applications for completeness and flag missing information
- Route documents to the appropriate team based on established workflows
- Maintain organized digital and physical records
- Assist with outgoing mail and general administrative support
- Ensure all work is completed accurately and in a timely manner
Qualifications
- High school diploma or equivalent required
- 1-3 years of experience in an office, administrative, or data entry role
- Strong computer skills (Microsoft Outlook, general systems navigation)
- Experience with CRM tools (Salesforce a plus)
- Excellent attention to detail and organizational skills
- Ability to work independently with minimal supervision
- Strong written and verbal communication skills
- Ability to manage time effectively in a high-volume environment
Preferred (Nice To Have)
- Bilingual (English/Spanish)
- Experience handling documents, mail processing, or scanning/imaging
- Exposure to insurance or application processing workflows

- Additional Requirements
- Must be available to work onsite full-time
- Must be able to commit to consistent attendance (no planned time off in the first 90 days)
