Position Summary:
The Intake Coordinator plays a key role in the Child Advocacy Center of McHenry County (CACMC), ensuring that child abuse victims and their non-offending caregivers receive coordinated, trauma-informed services throughout the investigative process. This position also fosters efficient communication among multidisciplinary team (MDT) members, supports case tracking, and promotes collaboration across agencies to prevent duplication of services and ensure accountability.
Primary Responsibilities:
- Serve as the first point of contact for families and MDT partners, answering all incoming calls and receiving faxes.
- Coordinate and schedule forensic interviews, ensuring clear communication with the child, non-offending caregivers, and all involved MDT members.
- Confirm appointments and interview logistics with families and agencies in a timely manner.
- Gather relevant background and family history in coordination with the Child and Family Advocate.
- Identify any special needs of the child or family to support a positive experience at the Center.
- Provide families with a clear explanation of the CAC process, including the forensic interview, medical exam, advocacy, and mental health services.
- Help families identify and overcome barriers to attending scheduled appointments.
- Collaborate with the medical provider to coordinate medical exams for children who meet exam criteria or upon request.
- Prepare and distribute meeting agendas, summarize decisions and action plans, and maintain accurate documentation in the CAC database.
- Promote clear communication and mutual accountability across agency lines by facilitating strong MDT relationships.
- Maintain a current contact list of all MDT members, administrative personnel, and agency training officers.
- Obtain all necessary signatures for CAC protocols and Memoranda of Understanding (MOUs).
- Enter intake and case data into the CAC database in a timely and accurate manner.
- Compile statistical data as needed for reporting and program evaluation.
- Assist in the preparation and submission of grant applications and quarterly reports for grants including VCVA, DCFS, VOCA, MHB, and others as assigned.
- Participate in pre- and post-interview meetings with MDT members.
- Engage in supervision, peer collaboration, and ongoing professional development activities.
- Assist with advocacy services.
- Maintain a high level of professionalism aligned with the CACMC’s mission, vision, and adherence to National Children’s Alliance standards.
- Perform other tasks and responsibilities as assigned by the Executive Director.
- Share on-call and crisis response responsibilities with other CAC staff.
Qualifications:
- Bachelor’s degree in Social Work, Psychology, Criminal Justice, Human Services, or a related field; equivalent experience may be considered.
- Experience working in child welfare, victim services, or multidisciplinary team settings preferred.
- Strong organizational and communication skills; ability to manage multiple priorities effectively.
- Knowledge of trauma-informed care and child advocacy practices.
- High level of professionalism, empathy, and cultural sensitivity.
- Proficiency in Microsoft Office and client database systems; strong attention to detail.
- Bilingual (English/Spanish) preferred but not required.
- Must pass a comprehensive background check including employment, criminal, DCFS and professional reference review.
- Must possess a valid driver’s license and reliable transportation.
