Position Overview
As a Contracts Coordinator, you will play a key role in supporting Global Medical teams by managing the purchase order (PO) creation process within procurement systems. This position requires exceptional attention to detail, strong organizational skills, and the ability to coordinate with multiple stakeholders to ensure contracts and purchase orders are processed accurately and efficiently.
Key Responsibilities
- Process contract requests and generate purchase orders (POs) following established procedures.
- Manage purchase order requests from initiation through completion within procurement systems.
- Track PO status and proactively follow up with stakeholders to resolve delays.
- Verify contract values against purchase order values for accuracy.
- Apply appropriate financial coding to purchase order requests.
- Work closely with business owners, procurement, finance, and legal teams to resolve contract-related issues.
- Ensure compliance with company policies, procurement processes, and standard operating procedures (SOPs).
- Maintain accurate documentation and provide updates throughout the purchasing process.
- Support additional projects and responsibilities as assigned.
- High school diploma with 5 years of business experience, or an equivalent combination of education and experience.
- Prior experience with contracts, purchasing processes, and purchase-to-pay (P2P) systems.
- Strong organizational skills with the ability to manage multiple activities and follow tasks through to completion.
- Excellent critical thinking and problem-solving abilities.
- Strong sense of ownership with a results-driven mindset.
- Self-motivated and able to work independently.
- Flexibility and persistence to complete assignments accurately and on time.
- Excellent written and verbal communication skills in English.
- Team-oriented with strong collaboration skills across internal and external stakeholders.
- Proficiency in Microsoft Office applications.
- Ability to quickly learn and apply new systems and business processes.
- Ability to anticipate risks, identify potential issues, and proactively solve problems.
- Demonstrated ability to independently identify and resolve issues.
- Adaptable with the diplomacy and flexibility to effectively manage change and differing viewpoints.
- Experience creating and managing purchase orders within procurement systems.
- Knowledge of purchasing workflows and financial account coding.
- Experience working cross-functionally with procurement, finance, legal, and business stakeholders.
- Strong attention to detail, especially with numerical verification and contract accuracy.
