Position Description:
The City College of New York - New York State Small Business Development Center’s SBDC Program Administrative Assistant plays a vital role in supporting the daily operations of our New York State the Small Business Development Program. This professional will act as the first point of contact for local entrepreneurs and campus groups, manage program calendars, coordinate workshops, and maintain confidential client databases. The ideal candidate is highly organized, tech-savvy, and possesses strong communication skills.
Key Responsibilities:
Office Management & Client Relations
● Serve as the primary point of contact for the CCNY NYS SBDC program, greeting visitors, answering phone calls, and directing inquiries appropriately.
● Manage scheduling, meetings, and appointments for program directors and business advisors.
● Maintain accurate, up-to-date, and confidential records of program clients and counseling sessions.
Program & Event Coordination
● Assist in the planning and execution of workshops, training seminars, and networking events for small business owners.
● Coordinate event logistics, including booking venue spaces, arranging catering, managing participant registrations, and preparing presentation materials.
● Communicate effectively with guest speakers, partners, and event attendees.
Administrative & Grant Support
● Draft, format, and distribute general correspondence, memos, and periodic program reports.
● Support financial and budget tracking by processing invoices, managing expense reports, and recording purchasing requisitions.
● Assist in compiling data for grant compliance, program evaluations, and performance reports.
Qualifications & Requirements
● Education: High school diploma required; Associate or Bachelor’s degree in Business Administration, Communications, or a related field is highly preferred.
● Experience: 1–3 years of proven experience in an administrative or office support role, preferably within a business incubator, economic development organization, or academic setting.
● Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with CRM databases, project management software, and basic design tools (e.g., Canva) is a plus.
● Soft Skills: Exceptional organizational and multitasking capabilities. Strong interpersonal skills and the ability to work comfortably with diverse populations of entrepreneurs.
● Adaptability: Ability to occasionally work flexible hours (early mornings or evenings) to accommodate special workshops and community events.
● Work Location: This position offers Hybrid/On-site work flexibility on our City College Campus
● Partnerships: This position will work closely with a number of teams across campus, including our Government Affairs partners, community engagement managers and will be part of a wider workforce development and community impact working group on campus.
Pay: $25.00 - $30.00 per hour
