Our client is a premier, fast-growing private investment firm based in Chicago. They are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a high-level leadership group within the firm. The ideal candidate for this position will excel if they can keep their calm in a high-pressure environment while coordinating complex logistics for senior leadership. Because the firm is dynamic and expanding, the specific executives supported may evolve over time; we are looking for a professional who is motivated by supporting high-level leadership generally and is comfortable with a fluid, evolving team structure. The candidate should have relevant experience that highlights their capability to conduct all administrative work, making sure the group's operations run smoothly. Thus, the candidate should be a detail-oriented and creative problem solver.
In addition, this role is 5 days on-site in the office.
Key Responsibilities
- Manage high volumes of complex, multi-city travel (domestic and occasional international). You must be capable of handling "on-the-fly" re-booking and logistics for frequently changing itineraries.
- Proactively manage dense and conflicting calendars for multiple high-level stakeholders. Ensure executives are prepared for all meetings and protect their time as a strategic gatekeeper.
- Process high-volume, complex monthly expense reports with 100% accuracy and strict adherence to firm guidelines.
- Coordinate internal and external meetings, including materials, technology setup, and catering.
- Assist with special projects as needed to support the efficiency of the executive group.
Required Experience:
- Junior Level: 2–5 years of administrative or assistant experience. High energy, rapid learner, and obsessive attention to detail. Experience in a fast-paced environment (finance, legal, or consulting) is highly preferred.
- Senior Level: 7–10 years of high-level executive support. Proven history of supporting C-Suite or Managing Director-level leadership. Strategic foresight—anticipates problems before they occur.
Qualifications:
- Bachelor's degree required.
- Exceptional organizational and time management skills, with the ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Strong written and verbal communication skills.
- Discretion and professionalism when handling sensitive information.
- Ability to work independently with a proactive and solutions-oriented mindset.
- Experience in or exposure to business development, sales operations, or client engagement a plus.
