About the Role
We are seeking a hands-on, detail-oriented Operations & Accounting Manager to oversee the day-to-day operational and financial health of our business. This is a pivotal leadership role ideal for someone who thrives in a small-company environment and can wear multiple hats.
Key Responsibilities
Operations (60%)
• Manage end-to-end warehouse and fulfillment operations and systems (inventory receiving, storage, picking, packing, and shipping)
- Technical Knowledge of computer systems, peripherals and Local Area Network structure.
• Optimize inventory levels, conduct regular cycle counts, and maintain accurate stock records
• Implement and improve SOPs for efficiency, accuracy, and customer satisfaction
• Manage direct-to-consumer order fulfillment (Shopify or similar platform) including same-day shipping goals
• Handle logistics, freight, and carrier relationships (UPS, FedEx, USPS, etc.)
• Ensure compliance with all shipping regulations and hazardous materials rules (where applicable for beauty products)
Accounting & Finance (40%)
• In-depth expertise in full-cycle accounting, including GL, AP, AR, month-end close, tax filings, and financial reporting
• Strong technical skills with accounting systems like Sage 100 Advanced and QuickBooks
• Process payroll and maintain employee records
• Reconcile bank and credit card accounts monthly
• Prepare monthly financial statements (P&L, balance sheet, cash flow)
• Track and categorize expenses; identify cost-saving opportunities
• Manage sales tax collection and filings across multiple states (Avalara experience a plus)
• Assist with budgeting, forecasting, and cash-flow planning
• Work with external CPA on year-end taxes and any audits
• Monitor key metrics: gross margin, fulfillment costs, customer acquisition costs, etc.
Who You Are
• 5 years of combined experience in operations/warehouse management and bookkeeping/accounting (beauty, CPG &/or e-commerce experience strongly preferred)
• ERP Software systems on MS Office Applications (intermediate to advanced)
• Hands-on experience with Shopify, Ship Station, or similar e-commerce tools
• Proven ability to lead and motivate a small warehouse/fulfillment team
• Strong analytical skills with a knack for spotting discrepancies and improving processes
• Extremely organized, reliable and deadline-driven
• Positive, can-do attitude and a genuine desire to be part of a family-owned business
