Position Summary
The Resident Assistant Scheduler is responsible for maintaining and actively managing staffing schedules to ensure appropriate coverage across all Resident Assistant shifts. This includes both on‑site scheduling duties and off‑site/on‑call responsibilities, requiring responsiveness to staffing needs 7 days per week.
This role ensures resident safety, supports operational efficiency, manages call‑ins and shift changes, and collaborates closely with leadership to maintain a culture of reliability and accountability. In addition to scheduling, this position provides direct resident care support, including shower assists, call‑light response, and RA backup.
The position is primarily Monday–Friday, with designated on‑call and one assigned weekend a month.
Essential Duties & Responsibilities
Scheduling & Coverage Management
- Create and maintain accurate master staffing schedules to ensure 24/7/365 coverage
- Approve time‑off requests and shift trades
- Maintain the four‑week master schedule and monitor overtime
- Coordinate coverage for call‑ins, absences, and open shifts
- Maintain an up‑to‑date contact list and staffing availability reference tool
- Adjust schedules to meet resident care needs
Off‑Site Scheduling & On‑Call Responsibilities
- Respond promptly to staffing needs during designated on‑call periods (evenings, weekends, holidays)
- Reinforce employee call‑in procedures and expectations
- Manage multiple staffing requests in a fast‑paced environment
- Ensure continuity of operations through proactive planning
On‑Site Resident Care Responsibilities
- Provide direct care support as assigned by the RA Supervisor (e.g., shower assists, call‑light response, RA backup, dining support)
- Complete weekly supply orders and assist with product efficiency
Attendance & Accountability Support
- Track and document all employee call‑ins, including reason and outcome
- Support supervisors with attendance follow‑up and progressive discipline
- Reinforce proper coverage protocols and expectations
- Promote a culture of reliability and accountability
Communication & Collaboration
- Communicate regularly with department leaders regarding staffing needs and concerns
- Provide updates on schedule gaps, trends, and challenges
- Maintain clear, professional, timely communication with all team members
Documentation Requirements
- Maintain accurate logs of:
- Call‑ins and absences
- Coverage efforts and outcomes
- Time spent managing off‑site scheduling activities
- Ensure documentation supports compliance, tracking, and performance management
Other Responsibilities
- Assist with training and onboarding of new Resident Assistants
- Participate in MOD (Manager on Duty) weekend/holiday rotation
- Perform additional duties as assigned
Qualifications
- Prior scheduling or staffing coordination experience preferred (healthcare or senior living strongly preferred)
- CNA certification or 5 years RA experience preferred
- Medication management experience is a plus
- Strong organizational, prioritization, and problem‑solving skills
- Ability to make timely, independent decisions in high‑pressure situations
- Excellent verbal and written communication skills
- Strong interpersonal skills and conflict‑resolution abilities
- Proficiency with scheduling systems and Microsoft Office (Excel preferred)
- Ability to maintain confidentiality and professionalism
