About the Role
The Confidential Executive Assistant will report to the Confidential Executive Officer to the President at The City College of New York. In addition to the CUNY Title Overview, the Confidential Executive Assistant will work closely with the Confidential Executive Associate.
Responsibilities
- Support the daily operations of the President’s Office, coordinating administrative tasks, promoting organizational efficiency, and maintaining confidentiality in all activities.
- Manage front desk support, greet and direct visitors, manage calls, prepare correspondence upon request, receive and distribute mail for the Office.
- In collaboration with the Confidential Executive Officer, print the President’s daily itinerary, schedule appointments as needed, ensuring meeting confirmations, agendas/materials, etc.
- Provide support for special events and meetings (e.g., organizing security clearance, parking reservations, room reservations, managing work orders, place catering services, coordinate any technology, and broadcast needs, if necessary, etc.) this also includes management of the President’s holiday party.
- Provide administrative support to the President and SVP, email/mail correspondence, memos, letters, etc.
- Process invoices for payment, securing necessary paperwork, W9, etc. closing out payments on a monthly basis. Support the Confidential Executive Officer with reconciliation of credit card statements (e.g., mileage reimbursement, etc.). Join monthly President’s Office budget finance meetings with the Confidential Executive Officer and the Finance Team.
- Manage inventory of office supplies; placing orders, liaising with vendors, maintaining accurate stock levels, etc.
- Other duties as assigned.
Qualifications
- Bachelor's degree and four years' related experience required.
Required Skills
- Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.
- Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule.
- Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community.
- Organizes, creates, and distributes key, complex management reports with a high degree of accuracy.
- Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities.
- Procures required internal and external resources and services and manages their utilization.
- May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing.
- Participates in special projects and efforts to improve unit effectiveness.
- Performs related duties as assigned.

Pay range and compensation package
Salary Range: $90,838 - $102,017. Salary commensurate with education and experience. CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
