Bilingual Administrative Assistant
The Chapa Law Firm prides itself in providing a unique personalized representation, who has a reputation of great communication and being a big advocate of supporting the Hispanic community. We are 99% referral base and a majority of our clientele are Hispanic, thus reputation is key. We are looking for a proactive, bilingual (English/Spanish) Administrative Assistant to support our internal operations and client management. As an effort to show our uniqueness and make this more socially engaging, participation in community outreach events could be included in the roles and responsibilities. Administrative Assistant may help with organic social media content creation.
Position Overview
The Administrative Assistant will play a key role in ensuring smooth daily operations, managing client communication, engaging with our CRM, engaging in demand preparation, providing direct administrative support to the Managing Attorney and employees, and potential organic content creation assistance, when needed. The ideal candidate is highly organized, detail-oriented, tech-savvy, able to communicate fluently and professionally with clients and courts in English and Spanish (spoken and written).
Key Responsibilities
· Managing Client Communication and incoming Phone Calls Maintain and process client communication through WhatsApp, Ring Central, Email, etc.
· Manage relations with medical clinics regarding client treatment status
· Answer, manage, and direct the incoming phone calls that we receive
· Engaging in Our CRM: Update client files and contact logs in CRM, which includes downloading and attaching new documents that pertain to each client that is received via Microsoft Teams Email.
· Manage deadlines, docketing, and filings calendar.
· Keep the client's internal records up-to-date
· Demand Preparation: Coordinate with Team on how to organize demand documents and provisions
· Assist in obtaining missing materials
· Administrative & Client Coordination: Manage the Attorney’s calendar and scheduling of client meetings
· Organize digital files, discovery materials, and correspondence in our CRM and Microsoft 365.
· Bilingual Communication: Draft and translate correspondence (English and Spanish).
· Communicate with Spanish and English-speaking clients and vendors in a professional, courteous manner via phone call, email, text or WhatsApp.
Qualifications
· Fluent in English and Spanish (verbal and written).
· Minimum 2 years’ experience in a law firm or legal administrative setting (recommended, not a necessity).
· Proficient in Microsoft Office (Outlook, Word, Excel) and Canva.
· Proficient in Artificial Intelligence tools (recommended, not a necessity).
· Strong communication, time management, and multitasking skills.
· High attention to detail and ability to work independently.
· Reliable, discreet, and comfortable handling confidential information.
Compensation & Schedule
· Full Time: 40 hours per week - 9:00am - 5:30pm
· Flexible schedule, remote position that has potential for hybrid work arrangement within the next year
· Salary: $40,000
