KEY RESPONSIBILITIES
The Program Coordinator provides essential administrative and logistical support to the Global Partners in Care (GPIC) team. In a collaborative and fast-paced environment, this role ensures smooth day-to-day operations of international initiatives within the structure of our parent organization, Center for Hospice Care. The coordinator works closely with the Program Manager and Executive Director to provide essential support to program development and management, communication with partners, and internal operations. This position brings strong analytical and organizational skills and contributes expertise in internal processes in support of the strategic goals of the organization. The Program Coordinator will work with a variety of people within the organization as well as our partners from around the globe. Travel is not required, but occasional travel may be offered.
Internal Coordination & Logistics
- Provide coordination of GPIC operations and programs, following through all stages of a task to ensure completion.
- Provide administrative support for a broad range of GPIC operations and programs, including scheduling meetings, preparing agendas, and taking notes.
- Assist Executive Director in financial tracking and analysis for GPIC.
- Maintain organized records of program activities, partner communications, and grant documentation.
- Assist in collaboration with other departments to translate and ensure timely completion of GPIC program needs. This includes liaising with fundraising, finance and communications teams of Center for Hospice Care as projects/needs arise.
Partner Engagement Support
- Support data entry, tracking, and reporting of program metrics and outcomes.
- Help prepare materials for high-level meetings.
- Assist fundraising efforts by supporting database management and helping in updating constituent records and ensuring quality of documentation.
External Communications & Logistics
- Assist in the development of written content (program updates, presentations, articles, social media) to share program progress and impact.
- Coordinate timeline and logistics for engagement with Global Impact fundraising and state registration support.
- Respond to routine inquiries from partners and other stakeholders.
- Assist in coordinating logistics for international travel, conferences, and workshops.
QUALIFICATIONS
- Associate or bachelor’s degree in administration, management, public health, or related field.
- 2 years of experience in administrative or program coordination roles.
- Strong organizational skills and ability to adapt and prioritize tasks within complex, dynamic programs.
- Detail oriented with big picture awareness
- Proficiency in Microsoft Office Suite and online collaboration tools, including virtual meeting platforms.
- Ability to manage multiple tasks and meet deadlines.
- Communicate effectively in both written and verbal communication.
- Proactively anticipates needs, flags issues, and recommends solutions.
- Ability to work independently and appropriately determines when to escalate issues or ask for more information.
PREFERRED SKILLS
- Familiarity with global health or palliative care programs.
- Experience with creating/maintaining tracking, project management software, or some system for task organization.
- Experience working in multicultural or international settings and bilingual is a plus.
