Human Resources Coordinator
Overview
Reporting directly to the Human Resources Manager, this position supports the vision and mission for The Cardiac and Vascular Institute. Expectations include but are not limited to, providing support to the HR Manager in recruiting, onboarding, orientation, timekeeping, benefits, reports and day-to-day employee and management needs.
Key Responsibilities
Recruiting
- Post position openings, refresh weekly and close once filled.
- Track candidates from start to finish.
- Schedule and complete candidate interviews for all departments within TCAVI.
- Complete reference checks, background checks and verifications of employment for candidates.
- Communicate throughout the process any updates to the hiring manager.
- Extend offer letters to candidates.
Onboarding
- Complete onboarding checklist once employee accepts an offer.
- Enter new hires into ExponentHR the week prior to their start date.
- Prepare conference room and assist with new hire orientation weekly.
- Add new hires into the Stericycle training platform.
- Process new hires I-9 documentation in E-Verify within 3 days of hire.
- Enter new hires/terminations within McGriff site for COBRA within 3 days.
- Enter new hires and terminations in USAble if applicable.
- Send HSA and FSA enrollments and terminations to McGriff.
- Track that all new hires that are insurance eligible enroll within the 30-day period.

Employee Engagement
- Annual anniversary awards
- Monthly newsletter
- TCAVI Swag
- Coordination of all employee engagement events.
- Happy Birthday/Anniversary emails to staff
Additional Responsibilities
- Oversee performance evaluation process from start to finish.
- Create, enter and scan HR change forms for employee changes.
- Complete verification of employment for current and previous employees.
- Maintain employee files, including scanning all new hire and termination paperwork.
- Maintain reservations for East conference room.
- Upload new hires and terminations to Fidelity 401K weekly. Assist employees with retirement inquiries.
- Assist HR Manager with open enrollment as needed.
- Maintain confidentiality of employees, management and company information.
- Manage building key assignments and alarm codes.
- Review monthly benefit invoices from each insurance vendor, relay adjustments to Finance and HR Manager.
- Listen to employee concerns and communicate with the HR Manager for a resolution.
- Assist with planning provider/staff meetings and ordering catering.
- Assist with day-to-day HR task and employee/management needs.
- Travel to West office regularly (mileage provided for Lake City location).
- Tracking inventory of and order physician business cards
- Track internal candidate referrals for referral bonuses
- Any additional duties as assigned throughout advancement within TCAVI.
Knowledge, Skills and Abilities
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Proficiency with computer systems and software, including Microsoft Office and Excel.
- Knowledge of HIPAA regulations and compliance.
- Ability to multi-task, prioritize, and manage time effectively.
- Willingness to learn and adapt to new technologies and processes.
- Effective verbal and written communication skills are necessary.
- Ability to work effectively in a fast-paced environment and to manage multiple deadline-driven tasks and projects.
Qualifications Required
- Valid driver’s license
- High School Diploma or GED
- Experience in a clerical/administrative role
- 2-3 years of related experience
- Two professional references from previous management
- Background check
