The BrandIt Agency is a marketing logistics and brand execution agency serving enterprise brands, franchise networks, and multi-market programs. We combine promotional products, kitting and fulfillment, and a proprietary ecommerce platform to run complex, high-volume marketing programs end to end. Local events and activations are one of the services we deliver for our clients, and we're growing our team with an organized, high-energy Event Coordinator to help make them happen.

This is a behind-the-scenes coordination role based in our Vero Beach office. You won't be on-site at the events themselves — instead, you're the person who makes each one happen from here: requests come in through our portal, and you take it from there. You'll book and negotiate with local vendors and partners, line up everyone who needs to show up, and follow through so that when the day arrives, every piece is in place and everyone on the ground knows exactly what to do. You'll juggle many of these small activations at once across different clients and markets, keeping every moving piece on track from your desk.

What you'll do

• Own the end-to-end coordination of local activations — from the moment a request comes in through the portal to the day the event wraps.
• Book, negotiate with, and manage a rotating cast of local vendors and event partners.
• Line up and brief everyone involved — including on-site personnel and client staff — so each person knows their role, their timing, and what's expected.
• Coordinate materials and event kits, making sure signage, giveaways, and supplies arrive where and when they're needed.
• Serve as the central point of contact leading up to and during each event, ready to solve problems by phone or message in real time.
• Track many concurrent activations across clients and markets at once, staying on top of dates, deadlines, and details without letting anything slip.
• Follow up relentlessly — confirming, reconfirming, and closing the loop so nothing falls through the cracks.
• Work out of our portal to intake requests, manage details, and keep records clean and current.

What we're looking for

• Exceptionally organized, with the ability to keep dozens of small, moving details straight across many events at once.
• A natural communicator who's comfortable on the phone — booking, negotiating, and following up with vendors you've never met in person.
• Calm and resourceful under pressure; when something changes last-minute, you find a way to make it work.
• A builder's mindset — someone who looks to solve a problem once and build the process so they don't have to solve it again.
• Comfortable learning and working in web-based tools and portals.
• Proactive and ownership-driven — you chase down loose ends before they become problems.

• Pay: $50,000–$60,000 per year
