Contract Administration Manager
Position Summary
We are seeking a detail-oriented and highly organized Contract Administration Manager to oversee the lifecycle of internal and external contracts and associated equipment. This role will focus on reviewing and tracking contract terms, monitoring key dates (renewals, expirations, buyouts), managing the equipment return process, and ensuring compliance with contractual obligations. The ideal candidate will combine strong analytical skills with excellent communication and organizational abilities.
Key Responsibilities
- Contract Oversight
- Review, analyze, and interpret contract terms, including renewals, terminations, buyouts, and obligations.
- Maintain a centralized database of all active contracts, ensuring accurate and up-to-date records.
- Track important dates (renewals, expirations, notice periods) and proactively notify stakeholders.
- Work closely with the contract team to ensure alignment across all agreements.
- Compliance & Risk Management
- Ensure all contract terms are adhered to and identify potential risks or non-compliance issues.
- Analyze contract-related data points, identify discrepancies, and resolve variances in coordination with stakeholders.
- Manage timelines related to renewals, expirations, buyouts, and equipment returns.
- Equipment & Payment Management
- Track equipment tied to contracts (leased, financed, or rented).
- Coordinate and oversee the equipment return process, ensuring timely and accurate completion.
- Document equipment return conditions and resolve discrepancies with vendors or lessors.
- Collaborate with the accounting team to coordinate contract-related payments and ensure accuracy in financial reporting.
- Vendor & Internal Communication
- Serve as the point of contact for vendors regarding contract terms, renewals, returns, and payments.
- Provide regular reports to leadership on contract status, key deadlines, and cost impacts.
- Collaborate with operations and accounting teams to support business needs tied to contractual obligations.
- Work closely with the sales team, assisting with information gathering and credit lease approvals.
- Work closely with the leasing companies assuring funding packets meet compliance.
- Manage all internal BOSS ↔ Client Agreements, ensuring information is complete and signed, and recorded in database.
Qualifications
- Bachelor’s degree in Business Administration, Finance, Legal Studies, or related field (preferred).
- 2–5 years of experience in contract administration, vendor management, project management or procurement (preferred).
- Strong knowledge of contract terminology, obligations, and buyout processes.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, SharePoint); experience with contract management software is a plus (Asana).
- Exceptional attention to detail, organizational, and time management skills.
- Strong communication skills, both internally and externally.

Pay: $50,000.00 - $57,000.00 per year
