Business Office Administrative Assistant

The Benjamin School seeks a polished, detail‑oriented, and personable professional to serve as the Business Office Administrative Assistant. This individual provides a warm, professional first point of contact for students, families, faculty, and visitors while supporting the daily operations of the Business Office. The role delivers essential administrative support to the finance department, including tuition management, financial aid processing, scholarship administration, and coordination with external funding programs such as Step Up. Success requires exceptional communication skills, sound judgment, discretion, accuracy, strong organizational abilities, and the ability to manage multiple priorities and deadlines in a fast‑paced, collaborative academic environment.
Key Responsibilities
Business Office Administrative Support
- Process bank deposits
- Manage daily lunch account processes
- Perform other duties as assigned
Tuition Management, Billing, & Step Up
- Enroll students in Step Up and post the scholarship to the tuition account
- Update scholarships and issue revised invoices
- Record monthly payroll deductions for faculty and staff
- Monitor billing exceptions (failed payments, expired cards)
- Support enrollment, billing, and tuition‑related communications
- Support families with tuition, billing, and Step Up questions
- Maintain confidential financial and student records and ensure timely, accurate processes
Front Desk Reception Duties
- Provide a warm, professional welcome to all visitors
- Answer and direct incoming calls and emails promptly and courteously
- Manage visitor check‑in/check‑out procedures and uphold campus security protocols
- Coordinate deliveries, mail distribution, and scheduling the Boardroom and small conference room
- Maintain an organized and professional boardroom and reception area
- Assist students, parents, and faculty with general inquiries
Education & Experience
- High school diploma required; Associate’s or Bachelor’s degree preferred
- Minimum of 1–2 years of administrative, receptionist, or office support experience (school or accounting/financial services environment preferred)
- Familiarity with Blackbaud Tuition Management, CORE, or similar systems is a plus
Technical & Professional Skills
- Professional phone etiquette and positive attitude
- Proficiency in Microsoft Office and Google Docs and Sheets
- Strong data‑entry accuracy and ability to learn financial systems quickly
- Exceptional attention to detail and organizational skills
- Clear written and verbal communication
- Ability to maintain confidentiality and provide excellent customer service
- Works well independently and collaboratively

Physical and Work Requirements
- Prolonged periods of sitting and computer work
- Occasional movement around the office and the ability to lift/move up to 15 pounds
