KEY RESPONSIBILITIES
Executive & Operational Support
- Manage complex calendars, including court dates, client meetings, firm events, and travel itineraries.
- Coordinate travel arrangements and prepare detailed itineraries for conferences, client visits, and speaking engagements.
- Track action items, deadlines, and priorities from meetings to ensure timely follow-up and completion.
- Support firm initiatives, including marketing campaigns, process improvements, or special projects.
Client Relations & Communication
- Direct incoming calls and mail as appropriate.
- Monitor, organize, and prioritize emails on behalf of the Managing Partner.
- Assist in planning and executing client events, firm functions, and community engagement activities.
- Support the preparation of presentations, meeting agendas, and meeting materials.
Administrative & Legal Coordination
- Draft and proofread correspondence, emails, and internal memoranda.
- Support overflow legal and clerical tasks such as document preparation, case file organization, and data entry.
Qualifications
- Previous experience as an Executive Assistant, Legal Assistant, or in a professional office environment preferred.
- Excellent written and verbal communication skills with a professional demeanor.
- Exceptional organization, attention to detail, and ability to manage multiple priorities under tight deadlines.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and comfort with legal management software.
- Ability to maintain confidentiality and work independently or collaboratively as needed.
