Administrative Assistant to Transportation & Maintenance

As the Administrative Assistant for our Transportation and Maintenance Departments, you’ll play an essential role in keeping our operations organized and efficient. From coordinating projects and maintaining records to supporting our transportation team, your work will help ensure our facilities, vehicles, and services continue to support people with intellectual and developmental disabilities every day.
Position Details
Location: Mellenville, NY
Schedule: Monday–Friday, 7:00 AM – 3:30 PM
Pay Rate: $17.50 per hour

Key Responsibilities
- Provide administrative support to the Transportation and Maintenance Departments.
- Prepare purchase orders, reconcile invoices, and assist with vendor payments.
- Order department supplies and maintain inventory of office materials.
- Assist with grant applications, bid documents, and project tracking.
- Maintain organized filing systems and department records.
- Prepare reports, forms, meeting minutes, and other correspondence.
- Schedule vendors for inspections, maintenance, and routine services.
- Maintain department training records and coordinate employee training schedules.
- Assist the Transportation Manager by coordinating bus routes, answering phones, routing calls, and communicating with drivers as needed.
- Support department operations by performing a variety of administrative tasks while maintaining a professional, organized, and customer-focused approach.

Experience
Preferred- Two years’ office experience in a busy office environment or related experience and or training.
