We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading to ensure accuracy
- Manage calendar schedules, appointments, and meetings using Microsoft Office tools
- Provide exceptional customer support by addressing inquiries promptly via phone, email, or in person while practicing proper phone etiquette
- Assist with office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and coordinating office logistics
- Support clerical functions including typing correspondence, preparing reports, and handling confidential information with discretion
- Facilitate communication between departments and external partners to streamline operations and enhance workflow efficiency
- Assist with logistics planning between facilities and communicate with vendors/ carriers
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with multi-line phone systems, data entry, filing procedures, and basic bookkeeping (QuickBooks experience preferred)
- Excellent written and verbal communication skills; bilingual ability is a plus
- Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment
- Previous experience in customer service or as a receptionist
- Demonstrated computer literacy with attention to detail in proofreading and document accuracy
- Personal assistant or office management experience is advantageous for success in this role
