- 1 years’ experience working as an Administrative Assistant in an executive-level office.
- Excellent customer service skills in interacting courteously and confidentially with others when answering phones and in person.
- Advanced attention to detail.
- Proficiency in Microsoft Office 365 products, including Outlook, Excel, MS Forms, Teams, and OneDrive.
- Demonstrates ability to prepare clear, concise, and grammatically correct correspondence.
- Demonstrates discretion and confidentiality in handling sensitive issues and information.
Preferred Qualifications
- Prior experience providing administrative support in a higher education office setting (Dean or VP).
- Basic understanding and knowledge of affiliation agreements and/or contracts.
- Basic understanding and knowledge of processing travel arrangements and reimbursements.
- Experience with using P-card, and submitting purchase requisitions and work orders.
- Basic understanding of Adobe Sign and/or Adobe Acrobat, utilizing Texas State systems including Canva, Gato, Calico, SAP, CLSS CourseLeaf, and CIM/PIM software.
- Knowledge of Texas State University policies and procedures.
Job Description
This position is responsible for providing administrative and general clerical support to the Dean’s Office and the chairs/directors in the College of Health Professions (CHP).

Job Duties
- Customer Service: Serve as a receptionist by answering phones and providing customer service to students, staff, faculty, and guests, handling incoming inquiries by researching and providing accurate answers. Represent the Dean’s office as a professional environment.
- Prepare and process travel arrangements and reimbursements for Dean and Assoc. Dean.
- Trains CHP staff on all Affiliation Agreements (AA) for student clinical placements, manages AA database, oversees the entire process.
- Provide administrative support to the CHP Associate Deans and work closely with the Sr. Administrative Assistant as needed with various tasks.
- Serve as CHP Time Administrator to monitor and approve time entries for Dean’s direct reports, faculty, staff, and student employees as needed.
- Tracks CHP and VPAA policies and procedures in the college.
- Provides assistance with CHP websites, marketing activities, and technical support as needed.
- Provide staff support to process curriculum proposal items, working with the College Curriculum Committee to ensure deadlines are met.
- Prepare college council meeting summaries.
- Hire and supervise student employees.
- General Office Duties: Assists with events, Key/card administrator, inventory, CRP allocations, space reservations, building space needs, updating CHP directories, distribution lists, work orders, purchase orders, and invoices, run errands, fax, duplicate materials, prepare outgoing mail, distribute incoming mail, order office supplies, and ensure the office is clean for staff and visitors.
