Job Summary
We are seeking a dynamic and highly organized Executive Assistant to support our CEO in driving the company's strategic initiatives and ensuring seamless daily operations. Responsibilities
- Manage and maintain the CEO’s calendar using Microsoft Outlook Calendar, scheduling meetings, appointments, and events with precision.
- Prepare, proofread, and transcribe correspondence, reports, presentations, and other documents to ensure accuracy and professionalism.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
- Organize and facilitate company events, meetings, and conferences through meticulous planning and logistics management.
- Handle incoming calls with excellent phone etiquette; screen and direct inquiries efficiently while maintaining confidentiality.
- Oversee office management tasks such as filing systems, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory.
- Support project coordination efforts by tracking deadlines, preparing materials, and collaborating across departments to meet objectives.
- Utilize Google Workspace tools for document creation, sharing, and collaboration to streamline workflows.
- Assist with personal tasks for the CEO as needed to ensure work-life balance and overall productivity.
- Manage sensitive information discreetly while providing exceptional executive administrative support to foster a productive work environment.
Experience
- Proven experience as an executive assistant or personal assistant supporting C-level executives in a fast-paced environment.
- Demonstrated proficiency in office management tasks including clerical work, filing systems, data entry, and customer service.
- Strong organizational skills with the ability to prioritize tasks effectively under tight deadlines.
- Excellent typing speed combined with transcription skills for accurate documentation.
- Familiarity with Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace (Docs, Sheets), and multi-line phone systems.
- Experience using QuickBooks for bookkeeping purposes is highly desirable.
- Exceptional communication skills with professional phone etiquette and proofreading abilities.
- Knowledge of event planning logistics for corporate meetings or company functions is a plus.
