A Glimpse of the Job
The Data Relations Coordinator serves as the primary steward of the George and Barbara Bush Foundation donor database ecosystem managing data integrity across the organization. This position works under supervision and plays a critical cross-divisional role ensuring data accuracy, donor engagement integrity, and reporting continuity across all Foundation teams.
Essential Duties/Tasks
Database Management and Reporting
Manages and maintains the Foundation’s donor database ensuring data fidelity
Serves as the internal subject matter expert and point of contact for Raiser’s Edge NXT usage across all Foundation divisions
Develops and enforces data entry standards, naming conventions, and coding protocols to ensure database consistency and long-term scalability ahead of a future Salesforce migration
Generates custom queries, reports, and exports using Raiser’s Edge NXT reporting tools to support leadership, development, and finance teams
Participates in cross-divisional data governance to align database practices with organizational needs
Donor Communications
Maintains donor contact records and communication histories in Raiser’s Edge NXT to support relationship continuity across staff transitions
Supports departmental leads with data-driven donor profiles ahead of cultivation meetings and events
Ensures all acknowledgement communications meet IRS requirements for charitable gift documentation
Office Administration and Staff Coordination
Supports departmental coordination and cross-divisional communications as needed, ensuring smooth information flow between the Foundation teams
Specialized Business Support
Coordinates with Finance team to reconcile gift records between the donor database and accounting systems on a regular reporting cycle
Supports cross-divisional data requests, including event management, scholarship tracking, and grant reporting, using database exports and custom reports
Assists in preparing data for audits, board reports, and annual fund analyses

Required Education and Experience
Bachelor's degree or equivalent combination of education and experience
Six years of experience in office administration including experience working in a CRM or donor database platform
Preferred Qualifications
Bachelor’s degree in business, nonprofit management, information systems, or related field
Experience working for a nonprofit or higher education development office
Demonstrated experience with data entry, reporting, and query building in Blackbaud Altru, Raiser’s Edge, or a comparable fundraising CRM
Familiarity with nonprofit fundraising cycles, major gift stewardship, and annual fund operations
Experience with gift processing, pledge management, and IRS acknowledgment compliance
Knowledge, Skills, and Abilities
Ability to multitask and work cooperatively with others
Knowledge of word processing, spreadsheet, database, and presentation applications
Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

Ability to work in a cross-functional environment, collaborating regularly with Development, Finance, Marketing, and Events staff.

Additional Information
Location
Primary - Houston, TX or College Station, TX with the ability to travel between locations.
Expectation of occasional travel to Bryan/College Station, TX and other locations.
