Position Summary:
The Office Manager / Operations Coordinator plays a critical role in ensuring smooth day-to-day office operations while supporting leadership with coordination, scheduling, and process management. This position requires a detail-oriented professional with strong multitasking abilities, excellent communication skills, and a problem-solving mindset.

Core Responsibilities:

  • Oversee daily office operations, ensuring efficiency and organization
  • Manage scheduling, calendars, and coordination for leadership and staff
  • Handle customer communication, including phone calls, emails, and service inquiries
  • Maintain accurate records, files, and documentation
  • Coordinate projects, job schedules, and workflow tracking
  • Assist with billing, invoicing, and basic bookkeeping tasks
  • Order and manage vendor relationships
  • Implement and improve office systems, processes, and procedures
  • Ensure compliance with company policies and administrative standards

Required Qualifications:

  • Proven experience as an Office Manager, Administrative Assistant, or Operations Coordinator
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritize in a fast-paced environment
  • High level of professionalism, discretion, and attention to detail
  • Reliable, self-motivated, and capable of working independently

Preferred Qualifications:

  • Experience in operations coordination or project management
  • Familiarity with accounting software (QuickBooks or similar)
  • Background in construction, service industry, or logistics (if applicable)
  • Experience with scheduling software

Work Environment:

  • Office-based position with occasional coordination with field staff
  • Fast-paced, team-oriented environment
  • Requires sitting, computer work, and frequent communication
