The Ideal Candidate would possess the following qualities:
- Strong Communication Skills: Ability to interact with potential clients, curent clients, and the firm’s legal team in a clear, empathetic, and professional manner.
- Attention to Detail: Ensure that all client information is accurate and complete, avoiding potential errors that could affect case outcomes.
- Organizational Skills: Ability to manage multiple clients at once while keeping track of intake, contracts, case documentation, and case support processes.
- Legal Knowledge: Familiarity with legal terminology and procedures is preferred.
- Technological Proficiency: Experience with macOs and Microsoft Office Suite 365 to manage firm operations, case support, and client data efficiently.
Responsibilities & Duties:
- Provide administrative support to the attorney, including scheduling new consultations, client meetings, responding to phone calls and emails, and general clerical duties as needed.
- Assist and coordinate with attorneys and the legal team on legal projects as needed, including contract preparation and review, due diligence, and general case support.
- Coordinate and schedule client meetings, appointments, and travel arrangements for attorneys and the legal team as needed.
- Support attorneys and/or legal team members in the preparation and filing of legal documents, including bilingual client communications, billing support, client management, and coordination of additional services as needed.
- Manage and maintain the legal department's digital and physical files, databases, and third-party firm and client support services (e.g., FBI Electronic Fingerprints, various translation service platforms, LawPay, LawMatics, INSZoom, etc.).
- Assist with legal research and document preparation as needed.
- Ensure compliance with legal regulations, contract terms, and firm policies.
- Handle confidential and sensitive information with discretion.
Qualifications & Skills:
- Education: Some college and/or Bachelor’s degree is preferred.
- Experience with contract review and drafting.
- Familiarity with legal ethics, compliance, and regulations.
- Experience working in a fast-paced, deadline-driven environment.
- Bachelor’s degree in a related field or equivalent experience.
- 2 years of administrative support experience in a legal or related field.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Proficiency in Microsoft Office 365, Office Suite, MS Word, MS Excel, MS Outlook, MS Teams.
- Proficiency in macOS.
- Ability to maintain confidentiality and handle sensitive information.
